YMCA Employment and Community Programs provide a variety of employment, counselling, outreach, intervention, training and newcomer programs to youth and adults throughout the GTA.
For decades the YMCA of Greater Toronto has been a leader in supporting the settlement and integration of newcomers to the GTA.
YMCA of Greater Toronto's National Pre-Arrival Settlement Services:
Next Stop Canada (NSC) and Pre-Arrival Coordinating Services (PACS) are funded by Immigration, Refugees and Citizenship Canada. NSC provides Pre-Arrival services to eligible adults and youth, delivered through an online web platform.
This platform will help participants to prepare for immigration and will create a direct link to settlement services across Canada.
It offers youth and adult immigrants (ages 12+) personalized information, one-on-one mentorship and settlement resources to successfully prepare for life in Canada.
Additionally, PACS serves as the coordinating body with a secretarial function facilitating consultation within the settlement sector.
The Pre-Arrival Administrative Representative/Intake Worker is part of a diverse team helping overseas immigrants find information and assisting with their settlement in Canada.
In this role, you will:
- Examine pending registration requests, determine client's eligibilities of accessing IRCC funded Pre-Arrival services.
- Provide eligible clients with access to Next Stop Canada platform, provides eligible clients with an orientation to all services available at Next Stop Canada, and assigns eligible clients to Next Stop Canada Information and Referral Specialists.
- Refer ineligible clients to appropriate government services or community agencies.
- Assist clients who have difficulties using Next Stop Canada's online registration tools with guidance.
- Perform data entry input and retrieval, ensuring the data is complete and accurate; provides support in program statistical reports.
- Assist in updating and maintaining resource database in NSC and PACS platforms.
- Work closely with team members to troubleshoot technical issues, minimize site interruption, and optimize site responsiveness.
- Support with the planning, production and promotion of online and inperson events, as well as coordinating and following up logistics for online and inperson events such as vendors, lodgings, equipment and other necessary details.
- Perform various administrative support duties such as ordering necessary office supplies and maintaining an accurate inventory of all program supplies and equipment.
- Assist in recording and reporting staff attendance.
- Ensure confidentiality of sensitive information and compliance with YMCA and funder privacy policies.
- Model appropriate behaviours to staff in line with our Mission, Vision and Values; establishes rapport and maintains effective relationship building behaviours with staff and members. Represents the YMCA and the Association in a professional manner.

What you need to succeed:

- Focus on the health, safety and wellbeing of all children, youth, and vulnerable people in YMCA programs including understanding legal and moral obligations related to reporting suspected child abuse to Child Protection Services

You bring:
- Completion of postsecondary courses in related field
- Previous administrative/clerical work experience
- Knowledge of settlement services and community information resources an asset
- Experience and sensitivity dealing with members, staff and volunteers of different cultural and racial backgrounds, including visible and nonvisible dimensions of diversity
- Welldeveloped interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members, staff and volunteers
- Excellent written communication skills
- Commitment to respecting diversity and demonstrating inclusive behaviour, responding with sensitivity and self
