About Us:


The Undergraduate Medical Education (UME) Program at the Schulich School of Medicine & Dentistry is responsible for leading, creating, enhancing and delivering an integrated four-year degree program leading to a Doctor of Medicine degree.


Responsibilities:


The role of the UME Administrative Assistant will assist with the day-to-day administrative activities in the unit as well as other units within the medical education department, provides back up for other administrative roles, and responds to general inquiries.

The Administrative Assistant will assist with the coordination of meetings and activities, ensuring any required resources are available and that any associated documentation is prepared including meeting minutes.

The incumbent will assist with inputting, maintaining, and tracking information in the teaching and learning platform while providing administrative support to faculty and distributing course information and materials in a timely manner.

The incumbent will assist with scheduling, reconciling accounts, ordering supplies, processing payments, inputting, maintaining, and tracking information in various platforms to facilitate faculty appointments, faculty reappointments, placements, and other activities.

The role will also provide support for the planning, preparation, monitoring, and review of assessments.


Qualifications

Education:


  • Community College Diploma in an administrative field.

Experience:


  • 1 Year of administrative providing customer service in a business office setting.

Skills & Expertise:

  • Knowledge of general office procedures including records management systems;
  • Ability to establish effective routines for excellent communication with all members of the team to maximize productivity;
  • Proven ability and natural inclination to interact with people in professional, respectful and diplomatic manner;
  • Selfmotivated multitasker with strong organizational skills;
  • Positive, outgoing attitude with genuine customer service orientation;
  • Demonstrated ability to work independently, take initiative and follow through on work assignments;
  • Familiarity with University policies and procedures preferred
  • Written and verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Customer service skills to understand customer needs and expectations, with a desire to deliver helpful and reliable service to the University community
