This position is responsible for providing administrative and program support services to the Legislation and Strategic Policy Branch (LSPB) of Corporate Services Division.
The branch is comprised of the department Legislative Unit, Strategic Policy and Intergovernmental Relations Unit and The Manitoba Homelessness Program.
The incumbent is responsible for preparing a wide variety of documents and correspondence including memos, letters, reports and submissions.The incumbent will assist in the coordination of events, webinars and other meetings as required including tracking of registrations and meeting logistics.
The incumbent must work cooperatively with staff and other members of the Corporate Services Division and department.Conditions of Employment:

Qualifications:
Essential:
- Experience providing administrative, secretarial and clerical support for executive and senior management, scheduling and meeting coordination, tracking events and using bring forward files, receiving, screening and directing inquiries.
- Experience maintaining paper and electronic filing and tracking systems; experience managing a high traffic inbox and moderating document version control.
- Ability to pay attention to detail and maintain accuracy when formatting, editing and proofing documents.
- Ability to work with highly confidential material.
- Effective organizational and time management skills including the ability to establish priorities to meet deadlines.
- Ability to work independently with general supervision.
- Excellent interpersonal skills.
- Ability to work cooperatively in a team environment and external collaterals
- Excellent written communication skills.
- Excellent verbal communication skills.
- Experience using Microsoft Office (Outlook, Word, Excel). Ability to professionally format documents according to a standard, create and maintain excel spreadsheets for tracking.
Desired:
- Experience using data bases such as SAP, AIMS, SharePoint is an asset.
Duties:
Reporting to the Executive Assistant, the Administrative Assistant is responsible for providing direct administrative support to the Assistant Deputy Minister (ADM), Community Programs and Corporate Services and the Executive Assistant.
This is a highly responsible and confidential senior administrative support position that plays a critical role in the smooth operations of the ADM office.
The incumbent is required to demonstrate a high level of initiative, work with considerable independence, and be co-operative and supportive to staff both internal and external to the Division.
