RESOURCE PLANNING TEAM LEAD

DUTIES & RESPONSIBILITIES

  • Responsible for the scheduling and dispatch employees on shifts for all divisions. Crossing Guards, Res/CIC, Aviation, Canine and Adhoc assignments.
  • Assign work to the resource planning staff based on daily business needs and priorities during your shift.
  • Monitor the progress of open shifts and prepare a list of open the shifts to hand off as priority for the next Resource Planners shift to action.
  • Monitor Resource Planning team's daily activities and assist during peak volumes
  • Ensure department targets are met.
  • In collaboration with the various Operational Service Delivery Managers and Client representatives ensure special/Adhoc requests are actioned.
  • Create new schedules for new business contracts
  • Assist the manager to plan for last minute or emergency leave issues such as sick leave, bereavement, or family related leave.
  • Escalates concerns to the Manager about employee's performance issues.
  • Fosters and maintains effective and collaborative working relationships/partnerships with key internal personnel (HR, Payroll, Accounting and Operations) to organize activities, identify and resolve cross functional team discrepancies, mitigate challenges, address potential or actual process/procedure or performance gaps.
  • Respond to unforeseen operational events and to proactively seek to improve integrated processes/systems to ensure business and operational integrity.
  • Maintains records and prepares and delivers reports to Resource Planning Management and Operations Management teams relative to actual or projected resource utilization, KPI's such as Attendance, Overtime, Open shifts, Excess OT, etc.
  • Reconcile employee Skills with customer requirements to ensure the right employees are assigned to customer shifts.
  • Ensures compliance with all company and client policies and standards, contractual obligations as well as government regulations, inclusive of ISO, Health and Safety, Security, Official Languages, Inclusivity and Accessibility standards.
  • Participates in new employee onboarding/orientation, training on the Scheduling software; In-Time and Planete in future.
  • Drives and continually promotes a culture of continuous improvement/innovation which leverages best practices, technology and new ideas and initiatives to improve services/processes which benefit both the business and clients.
  • Leads the scheduling team to ensure contractual compliance across all contracts and escalate to the manager all employee noncompliance issues.
  • Other duties, as assigned.

Who you are:


  • Must be a High School Graduate and possess a Grade 12 High School Diploma (GED) or acceptable equivalent combination of education.
  • Have experience as a scheduler/planner or staffing coordinator in a fastpaced 24/7 operational and/or service delivery environment is an asset.
  • Experience in using a database, preferably within a scheduling environment.
  • Must have strong communication and customer service skills.
  • Demonstrate ability to handle difficult callers, stressful situations, and multiple tasks in a professional, positive and constructive manner.
  • Knowledge, awareness and understanding of the various interrelationships with other Departments (Accounting/Payroll, HR/Recruiting, Training, etc.) and of the needs and goals of other Departments in relation to Resource Planning services.
  • Full time position but work schedule can include working weekends
  • 12 hours, continental rotation
