PROFILE


We are currently seeking a Legal Administrative Assistant to join our fast-paced Intellectual Property department for a 12 month contract.

Responsible for a variety of routine and administrative duties related to the prosecution of and/or renewal and maintenance of Patents and Trade Marks.

This position receives some direction or guidance; some tasks and objectives are accomplished independently.


RESPONSIBILITIES

  • Receive mail, faxes, and or certificates from clients and CIPO and matching them with the files and forward to responsible professional for action.
  • Update Intellectual Property inhouse database with all necessary notes and data input, including due dates, payments etc.
  • Prepare correspondence to CIPO and/or client using Intellectual Property inhouse database.
  • Deliver daily diaries to responsible professionals with file attached and ensure documents are filed at CIPO by the daily deadline.
  • Monitors Patent/Trademark renewals taking appropriate actions or steps as directed by client and/or professional.
  • Ensures payment of Canadian maintenance fees, including reporting to and billing clients.
  • Updates Diary Reports dealing with registered Canadian trademarks and all foreign cases and forward to appropriate professional.
  • Review Trade Mark Journal and photocopy Gowlings cases and to be entered into Intellectual Property inhouse database.
  • Any other duties as required.

QUALIFICATIONS

  • Postsecondary education in general studies.
  • Three years' experience working as a Patent or Trade Mark Assistant.
  • Ability to communicate effectively with other Firm members, with the aptitude to take care of clients' needs in a professional and courteous manner.
  • Capacity to work independently, as well as in a team environment.
  • Produce a high quality and quantity of work product, occasionally under tight timelines.
  • Able to prioritize and to redefine priorities when necessary.
  • Knowledge of both Canadian and Foreign Patent and Trade Mark practices (especially US, EP and PCT).
  • Handle stress in a businesslike manner.
  • Knowledge of Microsoft Office Suite.
