Role Responsibilities:


Assist with stakeholder engagement as projects require.

  • Undertakes external and internal stakeholder mapping and consultation or engagement activities to clarify issues and obtain input;
  • When applicable, coordinates stakeholder engagement throughout the project including maintaining communications, enabling and facilitating meetings, building relationships, and tracking issues raised;
  • Coordinates meetings with internal and external stakeholders.

Supports stakeholder engagement projects at the broad system level that are focused on addressing public safety policy trends and issues.

  • Develops necessary documents within at times, very tight time frames;
  • Creates, develops and writes briefing notes, agendas, correspondence (invites), presentations and background materials for the division.

Leads logistics as required by each assigned project.

  • Manages external contractors as necessary. Prepares requests for proposals and manage the process of evaluating and hiring contractors;
  • Monitors project processes, outputs, deliverables and budget using a variety of project management tools. Make adjustments as necessary;
  • Assists in compilation and delivery of final product;
  • Evaluates project results and suggest recommendations for next steps.

Modernize tools, data and information storage, and budget development and financial tracking for Engagement Team.

  • Creates, updates and organizes stakeholder lists;
  • Monitors shared inboxes and action items accordingly;
  • Prepares and works within budgets and any associated contracts for events, with regular reporting to Managers/Directors involved in events;
  • Tracks event finances, including invoices.

Coordinates and assists in planning, and provides logistics support for public facing events for the department.

  • Coordinates with program areas to develop and execute plans for public facing events (Peace Officer Memorial Day, Community Justice Awards);
  • Interfaces with stakeholders, government officials, and elected officials to prepare for events;
  • Prepares documentation as necessary (e.g. invites, relevant hosting forms).

Qualifications:

University Graduation in a related field; no experience required; or equivalent as described below.

Equivalency:
Directly related education or experience considered on the basis of:

  • 1 year of education for 1 year of experience; or
  • 1 year of experience for 1 year of education
