Description

The Cowichan Valley Co-operative Marketplace (CVCM) is a non-profit Community Services Co-op incorporated in 2014, guided by a board of members made up of local farmers, business owners, and community partners to develop initiatives addressing local food security and farm viability in the Cowichan Region.


Purpose of Position
The Warehouse Manager (WM) has the overall responsibility for the operations and staff in the Cow-op warehouse.

This individual must have strong organizational skills as well as be highly adaptable and responsive to both participating producers and customers.

The WM must have a clear understanding of all of the activities that the Warehouse Packing support positions are responsible for.

They must support the Packers in all operational activities, manage their break times, time sheets and ensure that they are working effectively following the weekly schedule (set by the WM).

They must ensure punctuality and provide guidance and feedback to all warehouse staff.


The WM is also responsible for updating and improving the organization and efficiency of warehouse flow and the systems required to meet the needs of the Cow-op.


Hours + Wage
This is a part time position that is employed 3 days/wk, Tuesday - Thursday, approximately 22-25 hrs/wk.


Wage:
$19.50/hr to start


Responsibilities
The Warehouse Manager is responsible for all logistics of our warehouse at Providence Farm.

This includes details around aggregation of products from our co-operative members, distribution of weekly orders for home delivery and pick-up.


Leadership & Human Resources

  • Staffing_
  • Determine staffing requirements in the warehouse (interns, packers, assistants) & schedule adequate resources when/where needed
  • Interviewing, retaining and the development of staff members
  • Management of interns & packers that are hired to assist with weekly market execution
  • Provide constructive feedback
  • Performance Evaluation_
  • Conduct weekly team checkins and postpacking day assessments to identify lessons learned from previous weekly operations/ seasonal shifts
  • Seek continuous improvement in the packing processes

Relationship Management & Communication

  • Support Producers_
  • In tandem with the Administrator, act as an ontheground "goto" individual for questions related to market operations, timelines, processes etc.
  • Communicates with producers to assist with missing items, scheduling, harvest challenges etc.
  • Correspond with producers regarding: products that are damaged, below quality standards, etc.
  • Manages cooler and freezer organization & cleanliness.
  • Plan and monitor the movement and storage of goods and products in coordination with the producers, distribution points, and customers.

Operations

  • Inventory Management System_
  • Develops and oversees the packing day tasks to ensure that all products are received, packed and distributed
  • Adjust paperwork as required for outofstock management, weight discrepancies, invoice edits
  • Comprehend all market data, forms and reports in the Cow website
  • Creates and prints off customer orders as a list, arranged alphanumerically
  • Ensures that packing sheets for orders are printed, highlighted, numbered & hung on totes, both for fridge and counter totes
  • Ensures that items that are missed/damaged/etc. by producers are recorded, as well as whether they can be replaced and when
  • Manages and ensures the proper packing and preparation of frozen items into coolers for each pickup location and delivery route.
  • Records cooler & freezer temperature each day of operation.
  • Ensure that the warehouse is organized, cleaned, freezer remains shut, lights turned out (in cooler/freezer/warehouse) and that all warehouse doors are locked before leaving.
  • Ensure that Thursday Pickups are staffed & run smoothly.
  • Supply Chain Logistics_
  • Prepares all necessary paperwork for market day. This may include packing lists, invoices, checklists, driver/pickup sheets, etc.
  • Ensure that new items are categorized appropriately on the packing slips. Make corrections within the website platform when errors are found.
  • Make corrections and edits to customer information (organizational names, etc) in order to maintain organized lists for alphanumeric packing systems.
  • Manage product and goods receiving, flow, packaging, and preparations for transportation. This includes items that need to be stored in refrigerated units, frozen units, counter items and transplants.
  • Work with the Administrator to develop and maintain production/delivery schedules.
  • Contactless Home Delivery_
  • Oversee and manage the execution of the home delivery processes.
  • Monitor the efficacy, efficiency and professionalism of delivery service, and develop improvements
  • Consistently works towards maintaining proper temperatures of orders & items while upholding the proper health & VIHA standards.
