Position Overview

  • Provide a client service mindset while assisting with the management and running of the workplace
  • Support AV and technology efforts to provide a seamless workplace experience
  • Maintain excel data reports pertaining to office activity

Key Accountabilities

Workplace Management

  • Provide start to finish assistance to employees that have inquiries regarding the workplace
  • Monitor assigned floors to stay on top of maintenance and deficiencies including kitchens, meeting rooms and technology needs
  • Oversee the stocking of kitchens, copy rooms, and supply rooms by the day porter
  • Manage the distribution of correspondence and packages including incoming and outgoing mail and couriers
  • Order supplies including invoice approval and management
  • Act as a backup for reception welcoming guests and answering phone inquiries when required
  • Act as back up to other Workplace Experience team members when required
  • Work towards automation and digitization wherever possible
  • Other duties as assigned

AV and Technology Support

  • Assist with AV vendor projects and complete regular trouble shooting of equipment
  • Train new hires on AV equipment
  • Manage corporate cell phone program

Reporting

  • Complete daily excel reporting in an accurate and efficient manner
  • Audit reports for accuracy on a regular basis

Profile:


Required Knowledge, Skills, and Experience

  • Corporate office experience is required
  • Prior workplace experience or office services experience is an asset
  • Strong client services acumen
  • Working knowledge of the Microsoft Office 365 with advanced excel skills
  • Experience with Audio Visual equipment implementation and trouble shooting
  • Experience with office equipment implementation and maintenance
  • Tech savvy, up to date on latest and greatest
  • The ability to take initiative, with a cando attitude and a sense of urgency
  • Innate problem solver
  • Exceptionally organized
  • Physical ability to lift boxes and supplies
  • Available to work in the office five days a week
