ABOUT THE ROLE


In accordance with the Child Care and Early Years Act, the Assessment for Quality Improvement tool for the City of Toronto, and the regulations and procedures of other legislative bodies and the Policies and Procedures for the YUCDC, the
Admissions and Administrative Co-Ordinator is responsible to support the Centre with the admission of new families and with its daily staffing and operations.


KEY RESPONSIBILITIES

Daily Operation of the Centre

  • Work closely with the Management Team to ensure the daily operation of the Centre.
  • Order Centre, program and office items when needed.
  • Participate in ongoing professional development and attends all mandatory training.
  • Perform other duties as may be assigned from time to time by the Management Team.

Staff

  • Work closely with the Management Team to assist with the daily staffing of the Centre.
  • Foster a cohesive and positive team environment and establish collaborative relationships with peers.
  • Assist with the onboarding of staff to the Centre.
  • Ensure the SANDBOX Staff Information Portal is up to date according to the guidelines as set out by the Ministry of Education.
  • Track staff absences and help to develop daily staff schedules to meet the daily needs of each group.
  • Anticipate and plan for contingencies and supply in a classroom if necessary.

Enrollment

  • Assist the Management Team in working towards full enrollment by responding to parent inquiries, conducting parent tours, and keeping up to date waitlists.
  • Assist with the enrollment of children and orientate families to the childcare program.
  • Ensure all children's files are complete at the time of enrollment.
  • Ensure the SANDBOX Childcare and HiMama Management Software Programs are up to date according to the guidelines as set out by the Ministry of Education.

Health and Safety

  • Ensure all Emergency Information is current, posted and/or stored as required (i.e., Individual Support Plans, Individual Medical Plans, Children's Emergency Information Forms, Allergy and Food Restrictions).
  • Facilitate and participate in monthly fire drills and evacuations.
  • Report maintenance as required and ensure issues are addressed in a timely manner.
  • Ensure the regular disinfecting and maintenance of all furniture and toys is uptodate and filed.
  • Ensure the daily reports of children's sleep charts, medications, and accidents are uptodate and filed.
  • Report accidents, incidents and serious occurrences to the Assistant Executive Director and/Executive Director
  • Perform emergency first aid as required.

Communication

  • Maintain and build strong, healthy, professional relationships with the staff, parents, and the community.
  • Share in the overall operation of the programs and Centre by maintaining regular and open communication with the families, the staffing team, community, and governing partners.
  • Ensure all pertinent information is distributed to the parents and staff.
  • Generate minutes of meetings when appropriate.
  • Encourage parents to actively participate in the operation of the Centre.
  • Participate in parent nights and special events.
  • Liaise with members of the University Community about issues of mutual concern.
  • Be aware of and cooperate with agencies and resources.

Record Keeping

  • Maintain an electronic and/or hard copy filing system.
  • Ensure the daily communication book is up to date.
  • Record weekly attendance on CSIS to be submitted on time and distribute TCS notices to parents.
  • Ensure children's files are re complete.
  • Assist the Management in taking minutes at meetings and filing accordingly.
  • Prepare for the submission of payroll for our hourly staff.
  • Remit payments to our suppliers.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong multitasking skills with the ability to manage competing priorities and remain focused to meet deadlines.
  • Exceptional written and verbal communication skills.
  • Proficient with the use of various forms of digital technology tools.
  • Problem solver, and confident decisionmaker.
  • Collaborator and relationship builder.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

Education

  • Diploma or Degree in Early Childhood Education from an Ontario College or University.
  • Childcare Management Certificate would be an asset.

Experience

  • 2 years' experience working in the childcare profession, administrative experience would be an asset.

Qualifications

  • Registered member of the College of Early Childhood Educators.
  • Current Criminal Check & Vulnerable Sector Screening.
  • Current Standard First Aid and Infant Child CPR.
  • Up to Date Immunization and Health Assessment as per the local Minister of Health Requirements.

COMPENSATION PACKAGE

We offer a compensation package that includes:

  • An annual salary between $44,500 to $52,000, based on experience.
  • An opportunity to work fulltime up to a work week of a maximum of 40 hours.
