Position Summary


The Sales & Event Coordinator for the School of Hospitality Tourism and Culinary Arts is responsible for a variety of duties to support the Events, Catering and Restaurant units as well as academic programs for the school.

The primary responsibility of the incumbent is to market, sell and coordinate booking of the Event Centre.

The incumbent will work with the General Manager and Executive Chef to develop plans to promote sales within various market segments, and work within marketing budget guidelines to meet identified sales targets.

The incumbent will showcase the venue to potential new clients in a variety of ways including site tours, virtual tours, and other creative formats where required.

The incumbent will also perform administrative duties including coordination of client catering, creation and communication of event orders, and will support accounting functions including invoicing and collecting client payments.

The incumbent may also be required to work operations of some events.


Responsibilities

  • Market, sell and book the event space
  • Prepares all promotional material to market the spaces in consultation with General Manager
  • Updates websites and social media to generate and sustain interest in the space
  • Prospecting new business on phone and in person
  • Works with General Manager to prepare the marketing budget and sales objectives
  • Focus on maximizing revenue through creative personalized selling techniques including upselling by thoroughly understanding cost estimates and operational expenses
  • Ensure proper tracking of sales for goal management
  • Create and distributes clear, accurate and concise Banquet Event Orders (BEOs) and communicates changes effectively to all departments
  • Invoice and collect payment from clients based on contracted payment schedule
  • Ensure post event followup with all clients to secure feedback and/or initiate service recovery if needed
  • Share client feedback with General Manager and Executive Chef for continuous improvement
  • Build relationships with industry trade associations and attend trade shows on behalf of the Event Centre
  • The Sales & Events Coordinator be involved in giving guidance and functional direction to placement students and students as needed
  • Attend College open house events and student orientations for SHTCA programs as needed
  • Attend College meetings to present event sales goals and profitability as needed

Qualifications/Experience

  • A minimum of a 3year diploma / degree in Hospitality & Tourism Management or equivalent combination of education and experience
  • A minimum of five (5) years' experience in event management and/or catering within restaurant/hospitality industry, including experience with event sales and event planning
  • Related experience in large scale operations, and preparing budgets.
  • Experienced in process implementation, process improvement
  • Strong customer service focus and ability to resolve conflicts
  • Proven sales track record, and ability to prospect new clients
  • Excellent interpersonal and communication skills, and problem solving
  • Excellent organizational/project management skills including attention to detail and multitasking skills
  • The ability to work independently, to establish and meet priorities, and exercise good judgment
