WSP is currently seeking an Executive Coordinator for our Toronto office. Reporting to the Senior Vice President, National Operations, Earth Sciences and Environment, you will have the following responsibilities

A day in the life..

  • Ensure coordination of SVP agenda and meeting preparations
  • Coordinate key Initiatives between multiple stakeholders.
  • Receive information related to Earth & Environment business line and distribute the information to the responsible parties.
  • Ensure followup with Leaders on various deadline and documents/presentations for executive meetings.
  • Coordinate and organize business line and leadership meetings and events.
  • Maintain a register of all project and documents by regular updates of related logs to track all documents.
  • Manage program and SVP document management system and retrieve corporate project documentation communicated between related business and corporate teams.
  • Coordinate necessary meetings, as required, take minutes, distribute minutes of meeting, followup on actions.
  • Report preparation and drafting of correspondence including various internal communication from SVP office.
  • Research best practices and assist with developing business presentations to various internal and external parties.
  • Ensure in person coordination to yearly or quarterly offsite leadership meetings when needed.
  • Other duties as assigned/required.

We'd love to hear from you if you have
:


  • Minimum of 10 years of experience in a similar position in a professional environment.
  • Experience working as an executive assistant.
  • Excellent communication skills (oral and written).
  • Excellent command of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Sharepoint online, Teams).
  • Ability to manage information with tact, diplomacy and discretion.
  • Able to meet strict deadlines and requirements.
  • Motivated and dedicated.
  • Have a sense of urgency.
  • Ability to work in a team environment.
  • Very good organizational skills.
  • Sense of initiative.
