As the Workspace Experience Coordinator, your main responsibilities will be to deliver an exceptional quality of service to clients, coordinate site operations, and provide support for business events and community initiatives.

Here is a breakdown of your roles and responsibilities:


Client Service:

Deliver an exceptional quality of service based on client feedback.
Coordinate site operations in accordance with policies, procedures, and contract scope.
Identify opportunities for improved operation and service excellence.
Conduct site inspections and assessments to ensure building procedures and performance measures are maintained.
Provide a safe workplace environment.
Manage repairs, maintenance, and other work requests, tracking them to completion.
Provide information and direction to vendors and service providers for excellent coordination and execution of work.


Workspace Coordination:

Coordinate the delivery of site amenities such as fitness, food services, massage, transportation, etc.
Support space planning activities and building churn/moves.
Act as the main point of contact for the site.


Service Delivery:

Coordinate and support events, meetings, and conference facilities.

Provide various services such as reception and guest support, new hire orientation, mail and courier services, office supplies, equipment maintenance, and building access pass management.

Assist in safety and emergency response activities.
Follow established escalation and incident reporting procedures.
Maintain and update Standard Operating Procedures (SOPs) and emergency response plans.
Foster teamwork, cooperation, and performance excellence.


Finance and Cost Control:

Assist with operational reporting, budgeting, and financial systems.
Identify and respond to financial or budgeting issues.
Manage purchase orders and payments to vendors.
Seek ways to reduce costs and improve operational standards.
Ensure compliance with financial and contractual authorities.


Qualifications and Skills:

Proficiency in information technology tools and platforms.
Prior experience in facilities, property management, hospitality, or related field preferred.
Knowledge of local occupational health and safety requirements and vendor management is advantageous.
Understanding of basic technical aspects of property is advantageous.
Excellent communication, organization, and problem-solving skills.
Ability to work independently, handle stressful situations, and take initiative.
Self-motivated, confident, energetic, and flexible.


As part of a global account team, you may be expected to support wider requirements and programs related to assigned sites.
