Position Summary


Reporting to the Academic Department Manager (ADM) in three departments (Anesthesiology & Pain Medicine, Critical Care Medicine, and Emergency Medicine), the Department Operations Coordinator will provide a wide range of administrative duties to support to the Academic Department Manager (ADM)and department Chairs.

The Department Operations Coordinator supports the operations of the three departments based on administrative and academic leadership's needs. This position ensures implementation and ongoing effectiveness of administrative support systems, processes, policies and procedures.

Consulting with internal and external resources this position must solve tactical and operational problems using policy, procedure, or processes based on direction from the administrative/academic leadership.

Work typically has impact within the direct area and involves consultation with internal and external resources.

The Department Operations Coordinator will work independently, collaborating with other departmental support staff, and with regular consultation with the ADM.


Duties

  • Serves as the first point of contact for queries, and issues for three departments
  • Manages and generates correspondence for the departments' programs or services including oversight of websites, blogs or other social media
  • Leads business operations by acting as Lead Hand Supervisor to the departments' staff as needed: engaging, developing and supporting their performance and development
  • Prepares reports for specific departmental needs on a monthly and quarterly basis
  • Human Resource process coordination, including but not limited to: reviewing upcoming expiring appointments, prepares appointment letters, provides guidance and information regarding pay inquiries, benefits, and leaves
  • Acts as Onboarding Coordinator for all Faculty and Staff; including coordination of Human Resources processes and documentation
  • Responsible for Financial Administration, creating and maintaining spreadsheets and/or databases, initiating and submitting the required forms for all financial transactions
  • Manage cash deposits and petty cash reconciliations
  • Organizes and provides administrative support for meetings, seminars, conferences, guest lecturers and special events.
  • Academic Administration duties including but not limited to: Annual Faculty Evaluation Committee coordination, identification of CAC appointment renewals and promotion and organization processes on visiting academics, postdoctoral fellows, selffunded researchers and others.
