Position purpose:


Under the supervision of the Manager, Gift Processing, he/she is responsible for the gift entry into the database with a focus on complex gifts such as, monthly recurring gifts and gifts in kind.

Monitors and validates the gifts entered by other staff and implements corrective measures for resulting inconsistencies. Prepares the weekly deposit and journal entries related to gift processing. Prepares the data for the weekly, monthly, and annual campaign fundraising reports which are submitted to senior management. Manages the past-due pledge reminder function and advises the Development Office of overdue pledge payments.

In this role, your responsibilities will include:

  • With the objective to support the philanthropic efforts of the fundraising team, processes gifts on a daily basis which are primarily annual campaign gifts. Scrutinizes all gifts received and solicitation/pledge forms for accurate and valid information including the appropriate coding and campaign/gift solicitor information.
  • With the objective to maintain database integrity, verifies gift payments and reviews biographic information submitted with gifts for irregularities, updates and errors. Monitors the accuracy of the gifts entered by other staff, performs daily validation queries and implements corrective measures for resulting inconsistencies.
  • Prepares and processes batches for efficient processing of several donations simultaneously (fundraising events, crowdfunding, third party solicitations, monthly donations through payroll deduction, pension plan deductions, direct debit by bank and major credit cards).
  • On a weekly basis, deposits all monies (cheques, cash, and credit card payments) following appropriate University procedures and internal controls. Produces and reconciles deposit reports (using financial system ledger) to accompany cash and cheques to Financial Services.

  • Must have indepth knowledge of a database environment (data entry, querying, reporting, data output) Experience with Raiser's Edge or other development database an asset
  • Must have a keen eye for detail when entering and updating data, attention to detail is critical
  • Must have the ability to synthesize information from various sources, and ability to work in a dynamic and changing environment
  • Given the personal and confidential nature of information on file, must be mature and professionally discrete
  • Must have excellent customer service skills
  • Good interpersonal and organizational skills
  • Possess good judgment and demonstrate initiative
  • Efficient in both official languages (French and English)
