Position Summary

Responsibilities

Provide high-level administrative support to the executive leadership team:

  • Arrange travel itineraries, accommodations, and transportation as needed
  • Prepare and review documents, reports, and presentations
  • Assist members of the executive leadership team with administrative tasks, including calendar management, meeting coordination, and travel arrangements
  • Prepare and distribute meeting agendas, minutes, and other relevant materials

Coordinate meetings, special projects, and initiatives:

  • Coordinate and manage details associated with quarterly board meetings
  • Manage and execute special projects as assigned by members of the executive leadership team
  • Conduct research, compile data, and prepare reports or presentations as needed
  • Monitor project timelines and ensure deliverables are met

Handle confidential information:


  • Maintain a high level of confidentiality and professionalism in handling sensitive information and documents
  • Exercise discretion and good judgment when dealing with confidential matters

General administrative tasks:


  • Maintain accurate records, files, and databases
  • Process expense reports and manage office supply inventory
  • Assist with the coordination of company events, meetings, and conferences

Education & Skill Requirements

  • Bachelor's degree in business administration, or a related field is preferred
  • Proven experience as an executive assistant or similar role, preferably supporting Clevel executives
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively
  • Strong attention to detail and problemsolving abilities
  • Exceptional written and verbal communication skills
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management software
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Proactive and resourceful, with the ability to work independently and anticipate needs
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels
  • Flexibility to adapt to changing priorities and work effectively under pressure
