Role impact:


Reporting to the Senior Vice President, Finance, this role will support the office of the SVP Finance and its leadership team in administrative and business functions including preparing and distributing documentation, meeting minutes and reports, calendar management, organizing travel and team events, processing expenses and invoices and other departmental tasks.


What you will deliver:


  • Calendar management for SVP, Finance and Senior Directors on the team, including travel arrangements for executive and team members. Organize complex calendars and schedules; resolving any scheduling issues
  • Assist in the preparation of quarterly materials sent to the Audit Committee and Board of Directors
  • Work with external auditor to assist in the coordination of audits and meetings
  • Complete expense reports, process invoices/wire payments and providing timely resolution to invoicing and receiving discrepancies
  • Organize team events and socials, including Social and Wellness activities
  • Draft and prepare correspondence and team communications
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the department
  • Coordinate and schedule regular team meetings and cross departmental meetings, including the preparation/distribution of minutes
  • Maintain Time & Attendance records for the department
  • Organize and maintain departmental filing system (electronic and physical) as per Cadillac Fairview's File Classification and Retention Policy
  • Prepare documents for signature and provide support in signing process
  • Provide and maintain courteous, professional and efficient service to internal and external contacts by responding to requests for information in a timely manner or redirecting inquiries beyond own scope of expertise in order to maintain good levels of customer service
  • Represent the company and the Executive in a positive light through great followthrough skills and sound judgment.
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Identify issues that have potential to negatively impact the effectiveness of the department and research and recommend possible solutions to SVP in order to ensure department runs at optimum efficiency
  • Coordinate mail and cheques for Finance Leads as required

  • Ability to exercise a high level of sound and independent judgment, reasoning, and discretion
  • Proactive, analytical, and an effective decisionmaker
  • Professional, approachable, and responsive, with a positive work attitude
  • Proven ability to operate independently with initiative and mínimal direction

What you need to succeed:


  • Grade 12 or equivalent. Postsecondary education an asset.
  • Minimum 5 years related work experience, with minimum 2 years supporting an Executive leader
  • Proven experience as an Executive Assistant or other relevant administrative support experience
