Office Experience Manager

About the Opportunity


As the Office Experience Manager, you play a vital role at Semaphore in creating a vibrant and inclusive work atmosphere - both in-person and virtually.

As a member of the People Operations Team, you will support the People Operations' mandate to maintain a close-knit and high-touch culture for our remote and hybrid staff.

Whether planning significant company events, being the first point of contact for general staff inquiries, or executing daily behind-the-scenes functions, your positive and service-centric energy has a direct impact on ensuring the Semaphore experience is fun and seamless.


You will be responsible for tasks that support employee engagement and connection, as well as office operations and facilities management.

You will experience a balance of routine daily, weekly, and monthly tasks with opportunities to be hands-on and creative.

Specifically, some of your duties include:

greeting guests upon arrival to the office, creating a welcoming onboarding experience for new hires, managing employee recognition programs, and reviewing staff timesheets.

Another key component of this role will be maintaining a functional, comfortable and productive office space which includes keeping our kitchen fully stocked with the basics and snacks (yum).

You will also drive the organization of our monthly company standup lunches and participate in the planning and execution of team-building events and bi-annual company-wide parties.

Starting compensation for this role is $27.50 per hour (Canadian dollars), commensurate upon experience.


Must Haves

  • Minimum of one year experience focusing on workplace administration, operations and/or facilities management in a fastpaced, highgrowth environment
  • Serviceoriented and personable with excellent communication skills
  • Highly organized with a propensity for tidiness and presentation
  • Strong problemsolving skills and a propensity for attention to detail
  • Ability to support multiple internal stakeholder departments and liaise with various vendors
  • Professional with a proven ability to work under pressure and with ambiguity
  • A team player who can get creative and roll up their sleeves to get the job done
  • Valid driver's license and access to a vehicle

Nice to Haves

  • Demonstrated experience in planning events of multiple sizes, inperson or virtual

What to Expect

Within two weeks:


  • You'll train on the Office Experience Manager tasks, starting to get a feel for the processes and office culture
  • You'll learn Semaphore's daytoday operations and how your role will participate in it
  • You'll meet the Leadership, People Ops, Finance, and PM Teams and learn how each team contributes to Semaphore's success
  • You'll independently manage some Office Experience Manager tasks like coordinating weekly grocery deliveries and office supplies

Within one month:


  • You'll have participated in the coordination of a companystand up and experience your first companywide lunch
  • You'll start to train on the administrative components of the role, including the timesheet review process
  • You'll have started to take over the planning and details for the next staff event, the summer party
  • You'll be sharing company updates in slack and managing our vibrancy channel
  • You'll become comfortable with how we use time tracking tools and integrations (ie. Harvest) and how our office collaborates (ie. slack, confluence, Google Docs)

Within three months:


  • You'll ensure you receive further training in any areas in which you need clarity
  • You'll have met most Semaphore staff and feel comfortable sending out communications in slack or speaking to ongoing events or programs in the company standup
  • You'll feel confident in your daytoday tasks and know who to reach out to for help
  • You'll have supported a new team member through their onboarding process
  • You'll have worked with various vendors, maintenance teams and service providers when coordinating on office projects or tasks
  • You'll have attended and successfully executed your first companywide event the summer party
  • You'll feel comfortable owning your components of the timesheet review process

Within six months:


  • You'll be confident in most aspects of your role and have made connections with most of the Semaphore team
  • You'll have identified and actioned ways to improve on the office processes and space
  • You'll be in the full swing of planning your second biannual company event the winter holiday party
