***The Executive Assistant is responsible for providing administrative and HR/Administration project support to the Director of Human Resources and Administration in accordance with the mission and policies of YWCA Toronto.

KEY RESPONSIBILITIES:


  • Provides confidential administrative support to the Director of Human Resources and Administration;
  • Manages the calendar for the Director of HR and Admin; schedules appointments, sets up meetings;
  • Prepares executive level correspondence, briefing notes and other written materials as required;
  • Records minutes for the Labour Management Committee meetings and any other meetings as requested by the Director;
  • Identifies and recommends issues to the Director for review and consideration;
  • Assists with updating Human Resources policies and procedures;
  • Conducts research and prepares reports for the Director, as required;
  • Assists with the preparation of funding proposals and reports including the collection of data and information;
  • Supports Equity, Diversity and Inclusion initiatives;
  • Undertakes special projects and research for both Human Resources and Administration (e.g. support for associationwide data collection system, support for HR programs as assigned;
  • Assists with preparing and monitoring HR budget lines;
  • Assists in the preparation and coordination of all HR budget submissions.

QUALIFICATIONS:


  • Indepth knowledge of human resources/business administration normally acquired through the completion of an undergraduate university degree in a relevant field
    (Cases for Equivalency will be considered);
  • 1 to 3 years directly related work experience;
  • Advanced organizational and office administration skills;
  • Proven ability to write executive level correspondence, reports, briefing notes and other written material;
  • Demonstrated financial management skills;
  • Ability to maintain a high level of confidentiality and professionalism;
  • Ability to work under pressure and respond to changing priorities;
  • Highly detail oriented with a focus on quality and accuracy;
  • Ability to work in a diverse and multicultural environment;
  • Excellent interpersonal and oral communications skills;
  • Must demonstrate strong initiative and must be goaloriented.
