    Description

    The Avon Maitland District School Board is inviting applications for the full-time casual position of Client Services Representative, with the Centre for Employment and Learning in Wingham.

    Reporting to the Program Manager, the successful candidate will be responsible for the duties below.

    Essential Functions and Responsibilities:

  • Greeting clients both on the telephone and in person;
  • Conducting intake interviews, including needs assessments, and assisting clients with self-help resources;
  • Providing clients with general information and directions to appropriate resources for service including the employed, under-employed, job seekers, students, laid off workers, apprentices, internationally trained and employers.
  • Supporting data-entry of Ministry and internal databases and statistical record-keeping;
  • Creating and maintaining paper-based and electronic client files; closing client files
  • Generating month-end statistical reports and providing monthly summary reports to Site Coordinator;
  • Scheduling room bookings for outside agencies and CEL staff;
  • Performing general administrative support duties such as photocopying, faxing, data entry, mail, filing, office equipment maintenance, and related duties as required;
  • Ordering and maintaining office supplies, inventory;
  • Maintaining public resource area with up-to-date materials in an orderly display;
  • Tracking client attendance records and workshop registrations for non-credit programs including reminder calls and conduct post-workshop follow-up;
  • Assisting clients with faxing and photocopying of employment-related materials;
  • Assisting clients using the Public Access Computers and provide resume, cover letter and employment research support; for all skill levels
  • Assisting public with computer use and access to internet-based services, i.e. email, online self-assessment and career counselling tools, job search database and websites
  • Support for computer and internet use, including identification of sites for such things as on-line self-assessment, employment preparation, career, employment and training decision making
  • Scheduling clients for the Employment Counsellors and Job Developers, making reminder calls, follow-up if client fails to report;
  • Be aware of, and direct the public to, local community programs and services
  • Assist Employment Services team with completing and sending referrals to community partners
  • Complete needs assessments with potential clients to determine suitability of programs
  • Provides information on local training and employment opportunities, community service supports, occupational and training requirements (including trades and apprenticeship), and resources to support independent or "unassisted" job search.
  • Provides information and support for access to programs such as Literacy and Basic Skills, Pre-Apprenticeship Training, Better Jobs Ontario, Job Creation Partnership, or secondary or post-secondary education.
  • Provides information on resources/services available through the service provider and the community to support an individual's effort to find employment
  • Be knowledgeable on local, provincial and national labour markets, including such things as job postings, occupational, regulatory and training requirements, emerging and declining sectors
  • Establishing and following through on setting personal and professional goals and developing a plan for professional development;
  • Participating in professional development workshops and in-service training as required;
  • Contributing to the growth and development of the program by participating in projects and committee work;
  • Other duties as assigned.
  • Job Specifications and Requirements:

  • One year college diploma in Office Administration plus one year related experience preferred; Proven professional written and oral communication skills
  • Strong interpersonal and teamwork skills
  • Competent bookkeeping skills and ability to work well with numbers
  • Initiative and motivation to ensure quality and accuracy of tasks performed
  • Strong analytical skills and attention to detail
  • Knowledge and understanding of Adult Learning Principles
  • The capacity to work independently, problem-solve, set priorities and multi-task in a busy environment and work effectively in a team environment
  • Ability to maintain in a high degree of confidentiality
  • Ability to stay current with technology and innovations in software and proven computer skills
  • Demonstrated computer proficiency and the ability to stay current with technology and innovations in software and online program delivery
  • Hours of Work: 35 hours per week, 12 months per year Rate of Pay: $21.20 per hour as per the Terms and Conditions of Employment for Non-Union Centre for Employment and Learning Employees. Employment Start Date: As soon as possible​
