    Position Summary
  • This is an administrative, support assistant position reporting to the Director of Student Affairs and receiving direction of work from Faculty Chairs supporting the Department of Accessible Learning Services (DALS). The incumbent is primarily responsible for clerical and reception duties and for assisting the DALS faculty with daytoday operations and for performing support tasks for the department.

Duties & Responsibilities

  • 1. Clerical and accounting assistance to support the administration of disability assistance funding programs) for all campuses.
  • 4. Monitor available funds for APSD, LDAB and WS. Notifies Department Chair of budget demands. Monitors General Ledger accounts and reconciles to database to confirm that expenses have been allocated correctly.
  • 5. Proofs, records, monitors and reconciles funding programs according to Ministry policy for APSD, LDAB and WS funding programs
  • 6. Assists with the preparation of ministry financial reports for Department Chair as necessary
  • 7. Submits departmental time sheets for biweekly processing
  • 8. Communicates with students as necessary regarding outstanding tutor expenses and equipment

Accommodated Testing:


  • Coordinates and schedules accommodated tests, midterms, in class assignments and final exams including assuring appropriate equipment is available
  • 2. Invigilates students during test/exam writing. Provides assistance with adaptive equipment and technology.

Reception:


  • Facilitates communication and arrangements between the DALS office and potential students, current students and faculty by answering enquiries on services provided; making appointments for DALS Faculty and referring people to other campus services
  • 2. Receives confidential documents, and disperses cheques for tutoring and computer equipment
  • 3. Responds to inquiries from Instructional Faculty, Administration and Community

Office Support:


  • Distributes equipment as per student Accommodation letters
  • 2. Corresponds with outside agencies and institutions as required to provide accommodations for students consent
  • 3. Maintains current forms and documentations for in house and external requirements related to accommodations and current legislative requirements
  • 4. Supports Department Chair in gathering and interpreting data for the Ministry of Advanced Education, Skills and Training Annual Interpreting Services and Disability Services reports
  • 5. Maintains college wide DALS tutor registry
  • 6. Maintains records of loaned equipment (ergonomic chairs, reading pens, digital recorders, etc)
  • 7. Monitors registration status using Clockwork and Colleague
    Required Education & Experience
  • 1. One year certificate in Administrative Office Management, or Business Administration, or Office Administration
  • 2. Min of 2 years demonstrated experience in office management with preference related to services in post secondary education or community mental health related settings
  • 3. Preference will be given to applicants with demonstrated experience in working with persons with disabilities
    Required Knowledge Skills & Abilities
  • 1. Strong interpersonal communication skills that allow for effective communication with a wide variety of people including understanding of the interpersonal communication aspects of disability
  • 2. Proven ability to prioritize and use independent judgement while providing support in a dynamic and busy environment
  • 3. Understanding of the disability and privacy related policies and legislations
  • 4. Ability to maintain confidentiality
  • 5. Ability to work independently and as a collaborative and productive team member
  • 6. Proficiency at an intermediate level with all Microsoft Office Word and Excel and a typing speed of 50 WPM
