Position Summary

Under the direction of the Director, Facilities Management & Construction Services (FMCS), the Operations Coordinator, Space Planning & Interior Design provides expertise and leadership related to space planning and interior design and is responsible for coordinating all aspects of the design, permitting and construction of various facility capital projects.


The Operations Coordinator, Space Planning & Interior Design oversees all aspects of the building renovation process from inception to completion and is responsible for ensuring the project is constructed on budget, on time and within scope.

The Operations Coordinator, Space Planning & Interior Design reviews and directs the work of staff, consultants, and contractors to develop plans, drawings, specifications, schedules, and budgets.

They also oversee the planning, design, implementation, and tracking of specific strategic projects for Facilities Management & Construction Services.


FMCS maintains the City's diverse portfolio of facilities, thereby supporting the full range of municipal services provided to the community.

Under the supervision of the Director, Facilities Construction Services, the Operations Coordinator, Space Planning & Interior Design works as an effective complement to support the department's facility design and construction initiatives and capital construction projects.

KEY DUTIES & RESPONSIBILITIES


Space Planning & Interior Design:


  • Responsible for daytoday operational space planning for corporate facilities and campuses
  • Provide oversight to ensure the effective development and ongoing management of multiple corporate facilities and campuses at both the operational and strategic level
  • Assist the Director of FMCS with the development of campus plans and facility functional planning
  • Provide programming, design development, space planning, finishes and furniture selection as well as project management services for various internal City Departments as well as external Boards and Agencies
  • Produce conceptual drawings, design development and construction drawings using AutoCAD as well as specifications for interior renovation projects and coordinate as required with architects and engineers
  • Create visual references and renderings to communicate design concepts and layouts to key stakeholders
  • Maintain a database of record floor plans for all corporate facilities and campuses

Policies, Standards and Guidelines:


  • In collaboration with the Director, establish corporate guidelines for space planning and utilization
  • Manage the corporate interior space planning and utilization database along with record floor plan drawings
  • Develop furniture standards and manage the furniture inventory for the corporation
  • Maintain the Municipal Accessibility Advisory Committee database for all FMCS projects
  • Responsible for the development and the ongoing oversight of a new municipal facility accommodations master plan and associated strategies. This will include the research and engagement work required to develop master plan scope of work, procurement, and project management

Staff Relocation Planning & Management:


  • Coordinate small to large scale internal staff moves, including site preparation, distribution of packing materials, and dayof move supervision, ensuring mínimal disruption to staff and City services
  • Provide clear direction for movers and respond decisively to questions and onsite issues
  • Communicate with staff to clarify responsibilities, manage expectations, and address questions or concerns

Construction Project Management:


  • Provide day to day construction management of a wide range of complex projects including multimilliondollar capital facility construction projects
  • Manage the design and construction team (including architects, engineers, and contractors) involved with the design, construction, and renovation projects for the FMCS department and internal corporate departments as well as external boards, agencies and associations which make use of City facilities
  • Determine and define the scope of work (construction activities) and deliverables for a facility construction project
  • Predict the resources needed to complete the construction project
  • Support the department with improving the estab
