Job Summary:


Reporting to the Director of Facilities Management, the Assistant provides confidential administrative support to the Director, Associate Director, and the Facilities Management team.


As a key point of contact for the department, the Assistant engages in initial discussion with contractors, students, employees, and visitors regarding inquiries, issues and concerns related to Facilities Management.

Additionally, the Assistant provides front-line assistance to support the daily operations of the department.

Qualifications:

Completion of a certificate in office administration from a recognized post-secondary institution.

Three (3) years of experience in an office environment.

Excellent computing skills, with extensive knowledge of spreadsheets and word processing.

Excellent interpersonal and written communication, time management, and organizational skills.


Proven ability to work independently and as part of a team, and able to meet multiple deadlines with a high degree of accuracy and attention to detail.

Demonstrated excellent minute-taking and transcription skills.

Self-directed, proactive, and able to exercise discretion.

Knowledge and understanding of post-secondary policies and procedures.


A good understanding of basic management skills, professional aptitude, as well as experience working in a unionized environment and with Collective Agreements.
