Office Manager at The Jean Tweed Centre


Reporting to the Director of People and Culture, the Manager, Administration Services is an extension of the Leadership Team and is responsible for the day-to-day office operations and administration of The Jean Tweed Centre.

The Manager, Administration Services will lead the administrative team with multi-faceted services that provide administrative, operational, and technical support to various departments within the organization.


Acting as a "Hub" for the Centre, the Manager, Administration Services will possess excellent organizational, communication and collaboration capacity, as well as be a strong relationship builder.


KEY RESPONSIBILITIES

Daily Operations, IT/Infrastructure and HR Support

  • Oversee the overall daytoday office operations and administration of the Centre and coordinate with the Property Services team.
  • Lead the administrative team, including monitoring reception, data entry, mail distributions and telephone and information technology system duties.
  • Responsible for supporting the core infrastructure of the organization (Supply chain, PPE Equipment training, ordering supplies, etc.).
  • Oversee the provision of daytoday support and troubleshooting of desktop hardware/software issues and the telephone system for the Centre.
  • Provide coordination and support across teams to enhance continuity and quality of care.
  • Commit to practice job responsibilities with a harm reduction, traumainformed, womencentred and antioppressive perspective.

Leadership

  • The Manager, Administration Services will lead a team of unionized administrative employees.
  • Office Receptionist is a direct report to this role.
  • Ability to lead through effective change management.
  • Collaborative leadership approach, with the ability to be highly organized and build capacity into the team members.
  • Possess a leadership approach that is consistent with organizational values.
  • Facilitate team building via communication and positive working relationships with staff.
  • Supervise, or support employees to supervise student placements and volunteers.

Education and Experience

  • Business Administration degree or equivalent.
  • Minimum three years of fulltime progressive work experience in an operations or business administrative role (Executive Assistant or Office Manager).
  • Minimum of two years of supervisory experience
  • People management and customer service skills.
  • Experience in the Non-Profit sector.
  • Proficient in PC computer environment, MS Office (Word, Excel, Outlook, etc.).
  • Experience in working with databases and a CRM environment.
  • Experience with Concur accounts payable system as asset.

Other Requirements

  • Valid Ontario Driver's License (Class G); access to a reliable vehicle with insurance.
  • As a condition of employment you are required to provide updated COVID vaccinations in compliance with Public Health recommendations.

Compensation
The compensation range for this role is $55,000 - $65,000 based on experience.
