DESCRIPTION:


DUTIES & RESPONSIBILITIES:
The following is a list of the essential duties and responsibilities of this job. The tasks and the time spent performing each task may vary as business needs require. ServiceMaster of Mississauga maintains the right to modify job duties and responsibilities at its discretion.


DUTIES:


  • Assist with scheduling all aspects of jobs including coordination with insureds, subtrades and property managers
  • Prepare detailed scopes and estimates in Xactimate for insurance & noninsurance jobs following company protocols
  • Ensure all timelines are met and updated accordingly
  • Complete invoicing on files and ensure all subtrade invoices are accounted for in the file
  • Understand and comply with insurance company guidelines and protocols
  • Assist with sending crews and subtrades to respond immediately to emergency claims and coordinate with insureds
  • Responsible to ensure the correct forms are signed and received on files and follow up with insured's and contractors if needed
  • Ongoing monitoring of progress on jobs, and provide regular progress reporting to clients
  • Prepare and maintain timely and accurate documentation, reports and other materials
  • Track and review subtrade quotes, estimates, changes and requests for payment
  • Follow up on outstanding receivables
  • Respond to all insured individuals/client inquiries, concerns or complaints and assist in resolving any issues as soon as possible

SLILLS AND ABILITIES:


  • Ability to work in a fast paced environment and is adaptable to change
  • Intermediate computer skills and the willingness to take courses as required
  • Excellent communication skills, both written and verbal
  • Resultsoriented individual with the ability to interpret and effectively manage multiple and competing priorities and time lines
  • Flexibility to adjust to shifting priorities and deadlines
  • Highly organized, strong attention to detail and ability to multitask
  • Proven ability to build and maintain strong working relationships
  • Flexible, adaptable and able to work effectively in a variety of settings
  • Works well independently and in a team environment

Educational RequirementsEducation Required:

Post Secondary Diploma/Degree PreferredOther Education/Certification/Training preferred:

  • Training in Xactimate an asset
  • Restoration and/or construction knowledge and asset

Work Experience RequirementsWork experience required:
Minimum three (3) years of work experience in an administrative role Job related experience required: 1 year of administrative experience at a Restoration Company is an asset


Salary:
$45,000 per year
