The Workplace Safety and Insurance Appeals Tribunal (WSIAT) is a highly specialized adjudicative tribunal that hears appeals of final decisions of the Workplace Safety and Insurance Board.

The WSIAT is currently seeking a highly motivated, experienced administrative professional to join the team as a TCO Administrative Assistant.

In this role you will prepare case materials and documents for hearings; as well as inputting and updating information in the Tribunal's customized case management system while working closely with the Tribunal Counsel Office lawyers.

The salary range for this position will be $25.63-$29.88 per hour.

What can I expect to do in this role?: Under the supervision of the Manager, TCO Administrative Services, the TCO Administrative Assistant duties are as follows:

  • Proofread and correct completed work for accuracy in spelling, format, punctuation and grammar, ensuring documents conform to established Tribunal Counsel Office formats and procedures. Process final documents to originator for signature
  • Transcribe and type from Dictaphone and/or handwritten letters, memoranda, legal documents and submissions on request
  • Generate TCO files in Tribunal's case management system and update appropriate spreadsheets
  • Prepare, copy and enclose attachments to letters, memoranda and submissions
  • Retrieve, update and track Tribunal decisions
  • Update Tribunal Counsel Office precedent submissions
  • Manage various administrative tasks as assigned by the TCO Manager, TCO Administrative Services
  • Search and copy reference material from Tribunal library on request
  • Check addresses for accuracy using the internet, e.g. postal code of an address or telephone number of other organizations and other resources
  • Send and monitor faxes through departmental fax machine. Contact parties/representatives to confirm receipt of faxes on request
  • Assist other Administrative Assistants when required
  • Working with Records department to ensure appropriate retention timelines are met
  • Review files with assigned TCO lawyers to ensure timelines are met
  • Review hearing recordings for technical issues, updating appropriate charts and updating Records Department with findings
  • Complete appropriate forms to ensure inclusion and accurate identification of materials and appropriate codes are added before closing a file
  • Read and screen incoming and outgoing mail and phone calls, deciding on priority matters, pulling and attaching pertinent files or background material and identifying matters that should be dealt with by other Tribunal departments.
  • Receive and relay messages to appropriate staff
  • Schedule meetings and arrange meeting rooms, using Zoom/Teams or by teleconference
  • Respond to inquiries from other Tribunal departments providing information on status of appeal. Managing various administrative tasks as assigned by the TCO Manager, TCO Administrative Services
  • Have sound judgment to organize workload based on priority setting priorities to ensure all tasks completed in a timely manner
  • Maintain an uptodate and complete filing systems with each lawyer and file including a bring forward system
  • Coordinate and organize travel arrangements including arrangements for special functions on request
  • Prepare Addenda for Case Record by attaching and merging documents using the Tribunal's case management system
  • Prepare prehearing, posthearing and reconsideration material, from oral/written instructions, using legal terminology
  • Draft and prepare the Hearing Record Form and Post Hearing Record form for review by Tribunal Counsel Office staff. Ensure all relevant material is forwarded to Vice-Chair/Hearing Panel
  • Order Board updates and related claim files from Workplace Safety & Insurance Board, identify necessary information required from the file
  • Liaise with Reproduction Department by sending tasks to coordinate printing of case materials while ensuring appropriate copies of materials are produced for all parties
  • Liaise with Tribunal's Scheduling Department to schedule a dates in order to initiate relevant tasks in the Tribunal's case management system, forwarding supporting documents to Scheduling Department when necessary
