The Role:
Administrator Finance (Programs)


The Administrator (Programs) is responsible for the processing of all VCF operating and program-related transactions and acting as liaison between the various programs and Finance team.


As a key member of the Finance team, this position is responsible for entering and administering non-charitable revenues and expenses, including maintaining customer and vendor profile data, responding to inquiries, preparing reports for program managers, and carrying out related account financial processes and reconciliations.

This role supports both Finance and other VCF Program Teams by providing financial, fund and other reports that are reliable, accurate, and complete.


A typical day would involve any combination of:

  • Process and administer income transactions in the accounts receivable module of the CRM in a timely manner, following internal approval processes and procedures, including both operating and program activities.
  • Ensure all data and customer/funder profile information is accurately recorded.
  • Process and administer all program and operating expenses in the accounts payable module of the CRM in a timely manner, following internal approval processes and procedures.
  • Prepare EFT payment information in accordance with financial and privacy guidelines.
  • Ensure all data and vendor profile information is accurately recorded.
  • Complete periodic reconciliations of operating and program revenue and expense accounts, investigate variances or address omissions as needed to ensure completeness.
  • Notify impacted teams if errors have occurred to enable any required follow up, and make necessary corrections to financial data.
  • Prepare routine and ad hoc reports and compile information as needed to enable operating and program activities and assist with financial reporting and objectives.
  • Input precise and meaningful data into the CRM.
  • Review and maintain customer and vendor profile data to ensure accuracy and privacy, in alignment with VCF policies and guidelines.
  • Collaborate across teams to evaluate and improve the processes for income and expense processing, reporting and data management.
  • Support the Finance and VCF Program Teams to maintain the integrity of and compliance with internal controls, financial systems, and Finance and Philanthropy policies and processes.
  • Attend team meetings and provide updates to both Philanthropy and Finance departments in relation to any workflow or systems changes.

You Have:


  • Familiarity with basic accounting and/or financial best practices, processes and regulations.
  • Proficiency with Excel and other MS Office tools.
  • Familiarity with general database and query language and/or accounting software.
  • Experience and exposure to working within a nonprofit environment.
