Hours of work:

37.5 hours per week, flexibility required for working extended hours if necessary.


Overview:


The Research Administrative Officer is responsible for providing support for research-related projects within Research Services at the University of Ottawa Heart Institute.

The Research Administrative Officer will work closely with, and assist, Institute researchers, trainees and research staff and will interact with the wider cardiovascular research community in Ottawa and beyond.


Responsibilities:


  • Assist with research communications activities such as compiling the Research BEAT regional newsletter and first draft of reports to senior management and the Board of Directors. Keep an updated tracker of research communications activities.
  • Lead the coordination of research website updates and ensure content is accurate and up to date.
  • Support the Scientist Performance Evaluation process.
  • Lead the organization of the Institute's monthly Grand Rounds.
  • Coordinate external user access to research facilities including coordinating and tracking of Facility User Agreements, ensuring training requirements completed and documented, and management of facility access through the security (SSA) system. Other SSArelated activities as required by Director.
  • Organize select seminars/workshops and assist in event planning activities.
  • Other general tasks will include organizing and scheduling meetings, submitting and reconciling expenses, and ordering office supplies.

Skills:


  • A minimum of 3 years experience in an administrative support role, ideally in a clinical or research environment
  • Demonstrated advanced proficiency with computer software packages (MS Word, Excel, PowerPoint, Adobe, Graphpad Prism, referencing software)
  • High level of resourcefulness to function effectively with mínimal supervision; ability to work both independently and in a team environment
  • Exceptional ability to communicate: prompt, friendly, approachable and appropriate use of communication media given the situation
  • Highly motivated and creative to meet the challenges within a fast paced and busy environment
  • Demonstrated initiative and ability to prioritize
  • Ability to handle high pressure situations and meet strict deadlines
  • Excellent general office and organizational skills

We are a close-knit team highly motivated to provide effective, quality support to our Institute researchers, staff, and trainees.

We work closely with the VP, Research and senior management to implement the strategic plan for research and drive multiple initiatives to increase the impact of our research.

As well as grants facilitation and management, our team is heavily involved in many aspects of research strategy and operations including facilitation to Innovation Hubs of multidisciplinary teams, internal funding competitions, secretariat to standing advisory committees, oversight of research core facilities and common equipment, support to trainees, communications to the research community, and event planning.
