General Role

This role will help support a busy and vibrant Communications Department in its many activities.

Context


The Communications Coordinator should be proficient in communications tasks and use their knowledge and experience to help the team achieve excellent results.

The Communications Coordinator will need to be available to work occasional evenings and weekends during events.

Main responsibilities

Functional Responsibility

Specifically, the role of Communications Coordinator requires:

  • Collaborate with the Communications team to plan and execute local events, exhibitions, and retail animations
  • Assist in researching and identifying suitable venues, vendors, and suppliers
  • Assist in scenography production and coordination of onsite logistics
  • Assist in developing Communicationsrelated tools, such as print and digital materials
  • Liaise between internal teams and external partners to ensure all parties are informed and aligned on event details and objectives
  • Secure competitive quotes from vendors for each program, prepare purchase orders, reconcile invoices, track programrelated expenses and contribute to uptodate budgets
  • Generate postevent followup activities, including evaluation reports
  • Help maintain Communications calendars and schedules, including tracking deadlines and deliverables
  • Contribute to organizational tools, such as vendor contact lists, schedules, and meeting agenda minutes
  • Support the ordering process and effective distribution of Hermès publications, including Le Monde d'Hermès and instore booklets
  • Coordinate direct mailings, including liaising with printers and mailing houses, reviewing proofs, and mailing lists, and ensuring timely delivery
  • Support the strategic execution of the annual paid media plan
  • Support the trafficking of paid and owned assets, including obtaining media kits and specifications from publishers, reviewing proofs/testing, and supplying necessary assets to publishers in advance of material deadlines
  • Support the shipping logistics for storefront window displays, as well as installation logistics and photography
  • Provide administrative support to the Communications team
  • Available to support on any earned mediarelated matters if required
  • Maintain a current communications calendar that identifies all significant local and internal program dates
  • Cultivate and maintain close relationships with corporate and store teams to understand and effectively execute their unique communication requirements, including attending and updating on store morning meetings as required.

Profile


Qualifications and qualities:

  • Bachelor's degree in marketing, communications, business administration or a related field
  • 35 years of progressive experience in experiential marketing, production, and/or project management
  • Preferred relevant experience in a marketing agency, or in retail, hospitality, luxury automobile, fragrance/beauty industries, with a focus on the Canadian market
  • Strong analytical, oral, and written communication, and presentation skills
  • Excellent computer skills, including proficiency in Excel, PowerPoint, and other relevant software programs
  • Handson, flexible, collaborative, and humble with a "rollupyoursleeves" attitude
  • Proactive and able to manage multiple projects simultaneously while maintaining a high level of organization and attention to detail
  • Knowledgeable about industry trends and best practices related to events
  • Ability to build and maintain positive relationships with internal and external stakeholders
  • Strong project management skills, including the ability to develop and manage timelines, budgets, and deliverables
  • Demonstrated ability to work effectively under pressure and meet tight deadlines
  • Willingness to learn and adapt to new technologies and software programs as needed
