Job Description:


Reporting to the Manager of Facilities Development, the incumbent is responsible for creating, maintaining, and distributing a wide variety of information record libraries and data based records systems which are fundamental to key operations performed by the Facilities Management Department's Development, Planning and Maintenance divisions.

The incumbent with the support of the CAD Records Management Technician and part time student CAD and Records assistant is responsible for creating new information e.g.

CAD drawings and controlling both the information quality and process for the release and distribution of Facilities Development department records/data that is provided to stakeholders across the college community The incumbent also analyses record data when requested in support of recurring reporting requirements and special projects and prepares reports and presentation information using a variety of software tools.

The incumbent provides ongoing support throughout all phases of project delivery and database management in the following key areas:

The incumbent will decide on a case by case basis to collaborate with the CAD Records Management Technician and part time student CAD and Records assistant to divide tasks in order to efficiently achieve priorities and meet deadlines - Active Project Support - Active Information Support - Operations - Administration - ON1Call Utility Locates - Records Administration - Professional Development.


Duties and Responsibilities:

  • Create, maintain, and distribute highquality information record libraries and databased records systems;
  • Provide ongoing project support throughout all phases of project delivery, from design to closeout;
  • Manage databases in key areas such as Facilities Operations, Administration, ON1Call Utility Locates, and Development/Project Records Administration;
  • Collaborate with the CAD Records Management Technician to create new information as required, including CAD drawings, signage, and forms;
  • Control information quality and release process for the distribution of department records/data to stakeholders;
  • Analyze record data to support recurring reporting requirements and special projects;
  • Prepare reports and presentation materials using various software tools, including Facilities condition reports and project cost summaries;
  • Audit received closing out documents for capital and major capital projects.

Required Qualifications:

  • Minimum three (3) year Architectural Technology diploma or equivalent experience and relevant training eg. Interior Design Degree or Engineering Technology Diploma);
  • Minimum five (5) years of experience in an Architectural/Engineering or Facilities Management environment, with proven experience in AutoCAD / CAD-Archibus software, including database administration using specialized Capital Planning and Management System software (VFA);
  • Experience using Adobe Acrobat, Minolta Scanner/ Printer, Archi bus as an asset;
  • Strong knowledge of PC platforms and proficiency with Microsoft Office suite;
  • Practical experience in maintaining large database libraries serving numerous stakeholders.
