Position Summary

Reporting to the Chair of the ESL Department and the Assessment Centre, the incumbent provides frontline support to the Assessment Centre operations.

This includes supporting invigilation staff, proctoring internal and external clients, and office reception duties.

The incumbent uses Enrolment Services data reports to create vouchers for student assessments, reconciles daily testing reports, manages and process payment refund requests, and provides backup troubleshooting on technical issues for 60 computer work stations.

The incumbent responds to written and telephone messages as well as in person inquiries.

Works in collaboration with the Assessment Centre Coordinator and Testing Services Officer on special and revenue generating projects as required.

The incumbent was be required to work on Saturdays and possibly Sundays during peak periods.


Responsibilities

  • Serves as first point of contact and welcomes test takers for exams sessions while maintaining a safe and secure exam environment
  • Communicates with culturally and racially diverse traditional and nontraditional collegeage students and external clients
  • Assists test takers with log on procedures and provides instructions to test takers who may not be familiar with the use of computer exam software
  • Tactfully deals with upset students/clients
  • As backup, use reports to create vouchers for placement skills assessments
  • Distributes skills assessment results and refers to PASS advising as needed
  • Maintains a daily log and reporting on exceptional occurrences
  • Directs students to book test sessions using online systems
  • Maintains an efficient records system
  • Processes ingoing/outgoing mail including courier
  • Processes payments and refunds
  • Orders office supplies as needed
  • Neatly maintains all test material on display
  • Provides inperson invigilation when needed and as backup
  • Verifies identification of exam attendees and records attendance
  • Acts as back up for invigilators to cover breaks or as necessary
  • Maintains certification and retraining as required by internal and external test vendors
  • As back up, trouble shooting software and/or hardware issues in the labs

Qualifications/Experience

  • Twoyear diploma or equivalent combination of education and experience
  • Minimum of two (2) years' experience working in a high volume customer service role, including experience in an administrative capacity
  • Previous exam invigilation experience with preferably with high stakes exams (i.e. IELTS/Pearson/CELPIP/CAEL) and/or proctoring experience in a formal adult education setting
  • Intermediate level skills in MS Word and Excel
  • Ability to work with a diverse client group and provide excellent customer service
  • Sound problemsolving skills with the independently resolve routine issues within the parameters of policies and past practices in the absence of the supervisor.
  • Knowledge and understanding of working effectively in a diverse environment with an awareness and sensitivity to the requirements of our diverse student population
  • Criminal record check required at time of hire (to be updated every 3 years)
