As part of the Trillium project based in Ottawa, we are seeking a LOTO/PTW Technical Administrator to join our team.

The incumbent will provide and coordinate administrative support to the Permit to Work Manager and Isolation Authorities to ensure accuracy, quality and integrity of information.


How will you contribute to the team?

  • Support the activities assigned by the LOTO/PTW Manager and Permitting team.
  • Provision of daily general administrative duties and assistance.
  • Preparation of weekly and monthly reports for the team.
  • Provision of document control including sorting, scanning, filing, archiving and retrieval of documents in accordance with project document indexing and filing system.
  • Manage and distribute project related documentation to relevant parties.
  • Assist in the planning and booking of meetings, conferences, and workshops.
  • Attend meetings as required; coordinate minute taking and distribution to identified stakeholders.
  • Devise and maintain efficient office systems and procedures.
  • Management of the Permit to Work Office stationery requirements including ordering, stock take and receipt and storage of goods.
  • Coordination of master Permit archiving including management of Archive Register and labelling and ordering archive boxes.
  • Archiving expired master Permits and recording in Permit Database.
  • Labelling isolation locks in accordance with sequential numbering system and record in Lock Register.
  • Maintain lock box key cabinets including stock management of Permit books, isolation hardware, printer consumables, isolation locks and lock boxes.
  • Manage stock levels of safety tags, printer consumables and Permit forms.
  • Scanning, filing and general ad hoc duties as required by the LOTO/PTW Manager.

What will you contribute?

  • Minimum 57 years previous experience in a related administrative role supporting Permit to Work and Lock-OutTag-Out teams in a construction or related project environment
  • High level communication skills written and verbal English literacy.
  • Management of Outlook diary ensuring coordination of meeting for assigned management representative/s.
  • Proficient user of MS Office (database, reporting and spreadsheet development, etc.), and other safety software programs.
  • Exceptional timemanagement and organizational/prioritizing skills.
  • Coordinating meetings, minutes taking and distribution of minutes to identified stakeholders.
  • Excellent customer service orientation and a warm, professional manner.
  • Demonstrated initiative and a proactive approach to work.
  • Ability to exercise the absolute discretion and sound judgment in varied contexts and under pressure.
  • Service and results oriented.
  • Able to work under pressure and meet targets and deadlines.
  • Flexibility and willingness to work as part of a team.
