Overview:


Pembina Pipeline Corporation's Vancouver Wharves Terminal is recruiting a 7 month fixed term Administrative Assistant to join the team in the Administrative team in the Natural Gas Liquids Business Unit (NBU), part of Pembina's Facilities Division.

Located in one of the busiest port cities in North America, our Vancouver Wharves' location is one of the largest terminals on the West Coast and handles both liquids and bulk products including mineral concentrates, diesel, Sulphur, and grain products on behalf of customers.

Reporting to the Sr Assistant, Administration, the Administrative Assistant is responsible for all aspects of coordination and administrative support.

This position is a critical role for the team in that it involves a variety of support and is responsible for covering reception and provide general administrative support to Operations as required.


Responsibilities:


  • Maintain the front reception desk, greet guests, answer inquiries and forward to appropriate office contact;
  • Administer typical reception duties, such as arranging couriers, sending faxes, opening and distributing mail, etc.;
  • Add all employees schedule for the year into Teams Shift and keep track of vacation days for the site;
  • Maintain safety work permit records;
  • Maintain site safety orientation database;
  • Perform minor financial administration tasks such as statement reconciliations, review taxi/hotel slips/invoices, new vendor setup, and procurement activities;
  • Maintain PPE cabinet and distribute to visitors;
  • Minutes taking for JOHSC meeting and variances from Safety meetings and distribute to the correct department;
  • Maintain department files including on call lists, staff directories, etc.;
  • Coordinate office services, such as catering, and office equipment maintenance, birthday cakes etc.;
  • Maintain and order office and coffee supplies;
  • Coordinate and book meeting rooms;
  • Maintain Administration binder documentation;
  • Organize Iron Mountain documentation and delivery to storage;
  • Assist with the NSWG fundraiser and take minutes at meetings;
  • Assist with the planning and contacting customers for auction items;
  • Support the Operations team with data entry into traffic for unloading and loadout of trucks;
  • Update rail and vessel spreadsheets;
  • Unload and mark out Sulphur and Agri rail on site;
  • Assist the Operations Manager with training for foremen and supervisors helping to maintain records;
  • Support employees to get the correct paperwork to order prescription eyewear from Eyesafe;
  • Support supervisor as required;
  • Provide backup administrative support for vacation and sick relief as needed;
  • Other projects as directed by the supervisors; and
  • Participate and support an equitable, diverse, and inclusive workplace.

Job Qualifications:


  • High School Diploma with a Postsecondary education, preference given to those with a Certificate, Diploma or Degree in Business Administration;
  • Advanced skills in all MS Office (Excel, Word, PowerPoint) products, along with working knowledge of SAP;
  • 5+ years' experience in an administrative support role;
  • Willingness to take on a 7 month fixed term temporary position;
  • Knowledge of administrative and office procedures and systems such as managing files, documents, and records;
  • Maintain a high level of professionalism and courtesy;
  • Communicate in a positive, friendly, and concise manner;
  • Demonstrated commitment to providing exceptional customer service;
  • Excellent organization and time management skills along with a keen eye for detail and accuracy;
  • Ability to multitask and prioritize work with minimum supervision;
  • Independent worker and selfstarter with highly developed resourceful problem solving and is adaptable to change; and
  • Present new and innovative ways of improving processes while seeking out diverse perspectives.
