We are looking for a Timekeeping & Cost Coordinator (6-month Contract) for our facility in Cambridge, Ontario.- Please note this is NOT a remote position._
JOB PURPOSE
Reporting to the Commercial Operations Support Manager, this role entails coordinating all project related time keeping, craft and contractor personnel pay-runs, sub-contractor invoice reconciliation, customer time tracking reconciliation and cost and sell reports for nuclear stations.
RESPONSIBILITIES
Hire-On Coordination Support
- Support Onboarding & Training Coordinators by preparing hireon packages for EPSCA trades (craft), contract and subcontract personnel. Send mandatory documentation requirements for hireon date to incoming personnel via Trades Hall or subcontractor office.
- Manage project WBS time charges and subcontractor invoices throughout the project lifecycle.
- Ensure that time charges are accurately stated and are in alignment with specific customer time clock systems.
- Create a crew list that documents personnel data, role, pay structure and time phased shift start and stop times for recording and synchronization with the customer's time clock system.
- Create crew timesheets prepopulated with anticipated daily work schedules and send to shift supervisors at the start of every week.
- Input timesheet data received from site into the time tracking system on a daily basis and ensure that all site notifications of exceptions are well documented.
- Administer training sessions for new supervision to ensure the expectations of the daily time reporting process are met and understood.
- Ensure that time tracking systems sell reports are aligned to the project specific contract terms & conditions.
- Submit all week ending time data to the customer's time clock system for analysis.
- Upon receipt of time clock analysis, record in centralized system, filter out variances, create proposed reconciliation and produce reports for management with time record variances for reconciliation approval.
- Update all time tracking data with approved hours from management and send reconciled time data to the customer's time clock system for synchronization.
- Ensure hours reported for all trades (craft) personnel are compliant with the Electrical Power Systems Construction Association (EPSCA) collective agreements.
- Monitor project progress at site by communicating with the Site Supervisors, Site Manager and Project Manager on a daily basis.
- Record site delays and produce delay reports.
- Produce project timesheet labour, cost and sell reports.
- Produce project running total reports for Project Controls Earned Value reports.
- Produce customer invoicing backup reports.
- Produce month end accruals for trades (craft) and contractors.
- Produce weekly payroll exports out of time tracking system and upload data into Sage 300 Construction & Real Estate (Timberline). Ensure that all contractor and trade (craft) labour payruns are completed on a weekly schedule.
- Review final weekly hours worked report for each project and resolve any discrepancies prior to payroll deadline.
QUALIFICATIONS
- Must be able to clear the Canadian Security Intelligence Service (CSIS) government security assessment.
- Valid security clearance for Bruce Power and Ontario Power Generation sites desirable.
- Degree or diploma in business administration desirable.
- Strong time management skills and able to reassess priorities to ensure due dates are met.
- Strong understanding of enterprise systems and how to manage change.
- Understanding of general project accounting practices and the Sarbanes-Oxley Act (SOX).
- Experience with customer site specific training and comprehension of policies, procedures and regulations of the nuclear industry.
- Knowledge of Canada/Ontario Labour Laws.
- Proven ability to succeed in autonomous assignments.
- Strong aptitude for the elimination of manual processes/waste.
Required Expertise:
- Microsoft Word, Excel, Outlook and Access.
Desirable Experience:
- Familiarity with the Electrical Power Systems Construction Association (EPSCA) Collective Agreements and Wage Schedules.
- Sage 300 Construction & Real Estate Payroll Software (aka. Sage Timberline Office).
- Experience in Coreworx Oncore Timekeeping Software (Ontario Power Generation).
- Experience in SAP navigation and query execution for reconciliation purposes.
