So, how do we define a
Human Resources (HR) and Administrative Assistant? Reporting to the Human Resources Manager, the HR and Administrative Assistant provides administrative support for three key areas of the organization; Haven House staff and visitors, human resources and general agency support.


An organized and detailed-oriented professional, the HR and Administrative Assistant will work with various teams to help internal activities and programs run smoothly.


  • This position provides the opportunity for someone who is interested in, or newer to, the field of human resources to gain experience and develop in a variety of HR skills while supporting the administrative needs of the organization._
The main buckets of work will include;

Administrative Support

  • Attending to the door, directing visitors, accepting packages and dispersing mail, shelter orders and supplies.
  • Providing support to shelter staff including but not limited to; ordering supplies, printing, laminating, meeting support, keeping shared staff areas clean, stocked and organized and keeping office supplies well stocked.
  • Supporting inventory management.
  • Maintaining and updating staff photos, ID badges and internal phone list.
  • Partnering with the administrative team on supporting staff meetings, training and events.

Human Resources Support

  • Providing payroll backup to the HR manager, running payroll quarterly to keep knowledge fresh.
  • Prepping for and running new staff HR orientations as needed.
  • Leading volunteer recruitment and engagement.
  • Supporting other HR related activities as opportunities arise.

Agency Support

  • Managing gift card tracking and distribution.
  • Assisting with teams and committees, scheduling and taking minutes.
  • Providing some general executive assistance to the CEO and Directors.
  • Post-Secondary education or equivalent experience. Some HR education an asset.
  • 23 years of administrative experience
  • CHRL an asset
  • Advanced computer literacy, and high level of proficiency Microsoft Office Suite (especially Word and Excel) and other tools as required
  • Strong organizational and time management skills; the ability to multitask and meet deadlines along with accuracy and attention to detail
  • Proven ability to handle confidential information with discretion
  • Problem solving skills and the ability to adapt to changing priorities
  • Bookkeeping or payroll experience an asset
  • Experience with HRIS systems an asset
  • Travel required throughout Waterloo Region
