The Faculty of Health Sciences Human Resources Office, in collaboration with Human Resources Services, provides leadership, advice, support and resources to faculty and staff to foster the creation of an environment that is inclusive, diverse and engaging.


Job Summary:


Reporting to the Associate Director, FHS Human Resources, the Human Resources Coordinator provides a range of human resource support services to the Faculty of Health Sciences community.

This multi-incumbent role is responsible for delivering excellent service and HR administration for a diverse and complex Faculty in a timely, accurate and uninterrupted manner.

The Human Resources Coordinator applies a working knowledge of human resources best practices and functions to effectively support the FHS HR department, department HR administrators, managers, and the Faculty's various employee groups such as MUFA, Clinical Faculty, TMG, Unifor, Postdoctoral Fellows, Clinical Fellows, Clinical Scholars, MUALA, Research Associates, and Interim employees.

The Human Resources Coordinator verifies data in an accurate and timely fashion in accordance with government legislation, University policy and established processes and procedures.

Accountabilities:


  • Acts as the primary HR contact providing HR Support and administration to various employee groups (Unifor, post doctoral fellows, clinical fellows, clinical faculty, MUFA, TMG, MUALA, Interim) in all aspects of the employment relationship including: HR policies, collective agreements, employee relations, payroll administration, benefits and pension eligibility and enrolment.
  • Responsible for providing advice/guidance for the entire leave of absence process
  • Support clients through the full cycle of the recruitment process; job opening questions and guiding department administrators through this process
  • Responsible for the preliminary investigation of issues and uses judgment to identify more complex matters that should be referred to appropriate senior HR professional and ensures comprehensive background information is collected and shared.
  • Responsible for input, running reports/auditing data and business processes within Mosaic related to employee life cycle events.
  • Responsible for all processes related to FHS security access/badges inclusive of affiliated host hospital sites.
  • Drafts employment related documentation i.e. offer/appointment letters, employee verification, notices correspondence, leave of absence etc. and ensures HR employee files are maintained.
  • Responding to many competing demands by identifying priorities and demonstrating effective time management.
  • Maintain accurate employee information in the HRIS system
  • Preparation of Unifor offer of employment letters, extensions, career growths, transfers, and layoff letters (3 types), priority hire and priority placement
  • Create new hire packages for benefit eligible employees
  • Track probation period of new employees and notify departments/managers when reviews must be complete
  • Communicate policy and legislative requirements as appropriate to support the HR and payroll function
  • Deal with sensitive or personal information in a confidential and professional manner
  • Other duties as assigned including special projects

Education:


  • University degree with a focus in Business Administration/Human Resources and/or completion of HR Certificate program preferred
  • Certified Human Resources Professional Designation (CHRP/CHRL) is an asset

Experience:


  • 3 years of human resources experience preferably as an HR generalist
  • Experience in a unionized environment is preferred
  • PeopleSoft experience is preferred
  • Ability to professionally manage sensitive situations and treat matters confidentially, demonstrating tact and diplomacy consistently using sound judgement to determine when to appropriately escalate matters.
  • Efficient organizational and planning skills to manage a demanding schedule of conflicting priorities and deadlines.
  • Understanding of and familiarity with unionized environments with an ability to interpret and administer collective agreements
