Position Description:
The Administrative Assistant will provide support to Management and other departments and will be responsible for completing administrative duties as directed by the supervisor.
Duties include front reception, including greeting the public, answering the telephone, cash handling, and applicable front desk duties, general office and administrative tasks of shelter programs, and maintaining solid relationships with the Society's supporters.
The position will have a clear understanding of the Society's education programs, grooming department, retail store and general reception.The position is a 30-hour work week, Monday to Friday, with hours corresponding to public hours
Tuesday through Friday (11:45am to 6:15pm) and some flexibility with a 6-hour shift based on operational needs on Mondays. Salary range is $16 to $19 an hour, with group benefits and group RRSP plan.
Position Responsibilities:
- Greet and direct the public
- Administer the Society's education programing, including program registration and scheduling, host and room bookings, and payment processing
- Create orders and complete inventory for Norm's Nook pet supply store
- Administer bookings and inquiries for the grooming department, including scheduling through Acuity
- Administer room bookings, including set up, take down and communication with staff and user groups
- Filing
- Cash handling and daily cashout
- Retail sales
- Accept donations from the public and payments for programs & services
- Assist with donor recognition
- Track goods in kind donations
- Data entry and spreadsheet creation & maintenance
- Produce database reports as requested
- Ensure website is accurate and proofread with regular rotation
- Update the street sign as per the event schedule
- Deliver the community food bank program
- Assist with annual and/or public seminars
- Assist with the maintenance of the shelter communication, AV equipment and security systems
- Organize catering and prepare onsite and virtual meeting rooms, minute taking as requested
- Maintain the cleanliness of the reception, lobby & retail area
- Always conduct themselves in a professional and courteous manner while working as an employee of the Cochrane & Area Humane Society
Qualifications and Skills:
- Advanced computer skills
- Proficiency in the use of Microsoft Office suite
- Strong ability to multitask and shift priorities
- Excellent written and verbal communication skills
- Strong interpersonal and organizational skills and willingness to adhere to good standards of operational procedures, productivity, and time management
- Ability to work closely with other staff, volunteers, and the public in a positive, practical manner
- Valid Alberta Driver's License
- Experience using Sumac, Canada Helps, Benevity, and Acuity an asset
- Administrative experience considered an asset
- Genuine concern for the welfare of animals
