Position Description

:


Education Administrative Coordinator
The Education Administrative Coordinator, as an integral part of the Division of Cardiovascular Surgery. They will provide administrative services for the Department¿s Education Program.

This role will act as the central resource for trainees and be their communication link within the division, ensuring the efficient operation of the education program.

In addition, this role will support one CVS surgeon with their day-to-day administrative tasks.

You may also be required to provide administrative support for the Department, with impact on the business operations.

This is a hybrid position that offers both work on-site and remote, based on Department needs.


Here's What You Will Get to Do

:


  • Manage reports, evaluations and other documents pertaining to accreditation and meeting specific set standards
Organization of schedule/rotations/coverage schedules for learners and trainees

  • Manage and coordinate appointments and reappointments for the Education Program and trainees
  • Responsible for aspects of the Fellows/Elective/Resident portion of the Education program, including handling all correspondence and inquiries related to the program, liaising with trainees before their arrival and during their training at SickKids
  • Organize and coordinate conferences, rounds and events pertaining to the Education program
  • Create and maintain the primary schedule and orientation packages for trainees and learners
  • Provide administrative support to Education Program Directors/Leads
  • Manage department schedules related to Trainees
  • Arrange meetings with various multilevel attendees; organize meeting rooms, catering, audio visual and equipment as required
  • Prepare and distribute meeting agendas and minutes
  • Coordinate and oversee projects from draft to implementation/completion
  • Process expense and reimbursements for trainees

Professional Accountabilities

:


  • Develop strong relationships and communicate with multiplelevel contacts across several portfolios and throughout the Hospital to exchange/report/analyze moderately complex information
  • Independently respond and collaborate with other areas to problemsolve/resolve conflicts and roadblocks, and propose solutions
  • Provide ongoing support for other coordinators within the Division/Department

Here¿s What You Will Need

:


  • Business or administrative degree/postdiploma program or equivalent
  • Approximately five (5) years of administrative experience preferably in a healthcare setting or with an educational institution
  • Proven organizational and time management skills, with ability to prioritize tasks effectively and respond to fluctuating demands promptly and professionally
  • Superior communication skills, both verbal and written
  • Advanced knowledge of Microsoft Office platforms especially PowerPoint, Word, Excel, Sharepoint, as well as Windows environments and Adobe Acrobat Professional
  • High level of judgment and professionalism in interacting with a wide range of stakeholders
  • Precise attention to detail, tact, and diplomacy
