    Opportunity

    MacEwan University is seeking an Admissions Assistant for a replacement term opportunity with the Office of the University Registrar.

    As an integral member of the admissions team, you will be accountable for providing exemplary service, preparing admission files for evaluation, conducting Open Studies file evaluation, and providing support for admissions and transfer articulation activities. This position receives, organizes, and manages related information and documentation to prepare a file for admission evaluation. You will respond to future students, applicants, and parents regarding a broad range of inquiries related to applicant file status, admissions and transfer policies, procedures, and documentation requirements.

    Key responsibilities include:

  • Identifying and confirming receipt of academic transcripts and related admission documentation required for the evaluation of applications, and where required scanning and uploading to the electronic document management system (EDMS) and admission record.
  • Reviewing academic transcripts and applicable admission documents to verify authenticity and completeness, using multiple resources.
  • Maintaining admission documents and correspondence in EDMS per records policy and procedure as well as pertinent privacy regulations.
  • Generating queries or running system processes for organizing and prioritizing their workload, including document processing that require action.
  • Guiding future students, applicants, parents, and stakeholders via email, other electronic communication tools (, MacEwan Help Centre, chat) and telephone. Such guidance includes program admission requirements, admission and transfer processes and procedures in a professional, concise, and consistent manner, and where appropriate to escalate internally or refer to other administrative/service areas.
  • Assisting applicants in understanding their admission and transfer credit statuses.
  • Ensuring compliance with FOIPP legislation and regulations. Protecting the integrity of all information that is received and retained in the electronic and hard-copy student records is imperative.

  • Qualifications

  • A minimum of a Diploma with focus in records/data management, administration, or related area.
  • A minimum of one year of administrative support and/or data management experience in program evaluation setting.
  • Experience in a post-secondary institution in an admissions or registrarial setting and a working knowledge of PeopleSoft – Campus Solutions would be considered assets.
