Summary

The Warehouse Administrative Assistant is responsible for seamless processing of outgoing and incoming products. They assist the warehouse manager with optimizing space utilization, inventory control procedures, maintenance and operation of warehouse equipment. They also need to understand security and health procedures that govern warehouse operations. Other duties may be assigned as necessary.

Job Duties

  • Monitor the SAP system for new shipments
  • Generate picklists as required and prioritize their picking
  • Assist in checking the picked orders for accuracy and make changes to the picklists as required, i.e. location changes / quantity changes, etc.
  • Request quotes from carriers for picked orders ready to ship
  • Request customs documents when required
  • Generate MBOL once all the carrier information is complete and dispatch the carriers accordingly.
  • Ensure customer part numbers / labels are applied correctly to each shipment as required, i.e. Stow.
  • Record all prepaid freight charges for entry into the system for accts payable purposes.
  • Continually monitor all open orders to ensure none have been misplaced and are being picked according to priority.
  • Assist staff / Drivers to ensure paperwork is in order and matches, i.e. customs docs to MBOL, etc.
  • Complete EOD (End of Day) procedure on all shipped MBOL for invoicing purposes.
  • Monitor and respond to all Emails for:
  • Changes to generated picklists/ Customer orders.
  • Responses from carriers for requested quotes.
  • Coordination for inbound and outbound shipments
  • Requested customer freight quotes.
  • Respond to Customer issues
  • Respond to CSR issues, i.e. spot checks, quality issues, etc.
  • Sample shipments:
  • Check and pack courier shipments and generate courier labels via their individual website.
  • Create customs documents for all courier shipments, as required.
  • Cycle Counts:
  • Perform cycle counts.
  • Physically count stock and relocate as required using inhouse software.
  • Assist in the Auditors Annual Physical Inventory Process, including counting and data entry of both bulk and forward location areas. In addition, reconciling inventory discrepancies, as required.
  • Inbound shipments:
  • Respond to drayage companies for full inbound container loads and arrange delivery appointments.
  • Print the inbound Supplier packing lists from the LCT program and determine from the LCT site which shipments require immediate turn around for rush / late orders and coordinate these with CSRs.
  • Assist with the generating and printing of barcode labels / receiving as required.
  • Determine if inbound courier shipments need to be received into the system by whether or not a Comtrad P/O exists.
  • Distribute the Courier shipments to recipient.
  • Assist within the Shipping Operations as assigned during peak periods or when shorthanded.
  • Miscellaneous duties:
  • Back up the warehouse picker / receiver, when necessary
  • Operate fork lift as required.
  • Assist in ordering warehouse supplies and schedule services maintenance and upkeep of electric forklifts, shrinkwrap machine and all other materials handling equipment as required.
  • Keep warehouse premises neat and clean.
  • Building Maintenance issues: Prioritize these as they arise.
  • Payables assist in sorting out any discrepancies with quoting / invoicing shipments.

Requirements:


  • 24 years experience
  • Strong customer service and troubleshooting skills.
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
  • Strong attention to detail.
  • Strong work ethic and positive team attitude.

Working Conditions

  • Manual dexterity required to use desktop computer and peripherals.
  • Overtime as required.
  • Lifting or moving up to 50 lbs may be required.

Salary:
$20.00-$23.00 per hour
