The opportunity:


The Department of Medical Microbiology and Infectious Diseases, located at the Bannatyne Campus (Basic Medical Sciences Building, 745 Bannatyne Ave, Winnipeg), is recruiting an Office Assistant to join their administrative team.


The Office Assistant reports to the department Administrative Assistant and provides day-to-day support to the Administrative Assistant and Department Head.

Together, the Administrative Assistant and Office Assistant lead department administrative functions including; financial assistance of research projects, producing quarterly fund statements, reviewing research funds monthly to ensure accuracy and compliance, being the department go-to person for using EPIC (purchasing program), Concur (expense claim program), and FAST (financial reporting program), requesting and reconciling cash distributed for blood donor compensation, requesting and reconciling funds sent overseas for international research projects, assisting with making purchases, reviewing all expense claims made by department faculty and staff for accuracy and policy compliance, collecting and inputting weekly payroll hours for department support staff, maintaining accurate files in accordance with University policies, facilities management, coordination of events, technology support for hybrid and virtual presentations, providing MMID Awards Committee administrative support, and being the department office first point of contact.

Under the direction of the Administrative Assistant, the Office Assistant will manage a wide variety of routine financial and administrative tasks while ensuring compliance with policies and procedures.


The qualifications and experience we're looking for:

  • Completion of a formal training program in business administration from a recognized institute is required.
  • Three years relevant experience required.
  • Financial experience is preferred.
  • Experience with the UM Financial systems (FAST, Epic, Concur, Aurora) is preferred.
  • Excellent skills in Microsoft Office software, including Excel
  • Strong oral and written communication skills
  • Excellent interpersonal skills required
  • Ability to work independently, to work as part of a team, and to take direction
  • Ability to develop strong working relationships within the department and the faculty, and with external agencies and partners.
  • Ability to plan, organize and complete multiple work assignments simultaneously according to deadlines.
  • Must consistently demonstrate tact and diplomacy.
  • Ability to clearly explain basic financial transactions and processes to others.
  • Ability to handle sensitive information (salaries, appointment details, etc.) in complete confidentiality is required.
