Job Description:


General

  • Be a constant hospitable presence throughout the office always looking for opportunities to improve the employee and guest experience, as well as the workspace itself.
  • Be the first impression of the office space approachable, authentic, hospitable, patient, transparent yourself
  • Working with various stakeholders throughout the firm to improve the employee and guest experience. Some of our closest partners include Security Operations, Facilities, Human Resources, Employee Operations, and the Global Events Team.
  • Take ownership of all facets of the work environment, from the pantries and fish tanks, to our conference rooms and event spaces. Escalate any issues to the appropriate teams to ensure a swift response.
  • Be open to covering any location within your respective city/immediate region

Front Desk


We have Security onsite to verify and validate all guests, but we want our FOH to provide the superior hospitality that our guests will remember.

The FOHC is a hostess or host for our facility and is genuinely interested that everyone feels welcome and taken care of.

All areas of FOHC's job, but especially the Front Desk component, calls for a sense of warmth, polish, and poise.

Communication, courtesy, and diplomacy are all extremely important.

  • Entering security badge requests for guests. Ensuring adequate quantity of visitor security passes are available at all times.
  • Working with Building Security on any access issues for employees, guests, or vendors.
  • Ensuring we keep a quantity on hand of Building Access Cards. Maintaining a log of who have these cards.
  • Take the lead on all Front Desk issues.
  • Greet everyone
  • Coordinate Front Desk coverage for breaks
  • Decide who will do what during busy times
  • Keep the area neat, clean, and clutterfree
  • Communicate issues with PCs, printers, cameras, or other equipment
  • Manage visitor baggage left for safe keeping at the Front Desk. As needed, label and account for all baggage.
  • Provide assistance to all visitors. Together with office Security, communicate timely reminders to hosts of visitor arrivals and waiting times.
  • Deal with all complaints in relation to the Front Desk which arise from visitors and clients. Bring any issues to the attention of the Facilities Site Mgr or Team Lead.

Event Support

  • Assign and coordinate event spaces for internal corporate events and daytoday meetings as requested via internal ticketing system
  • Manage arrangements with the catering service, facilities management and other departments to ensure that all requests for space, food, special equipment and other requested services are provided seamlessly
  • Work with Facilities and the Events team in preparation for all upcoming Events. Room setup, cleaning (before and after), catering, security and A/V requirements.
  • Represent the internal client and liaise with all Hospitality teams (Catering and Front of House) as well as Facilities, and Security on an ad hoc basis to strategize and align teams for large/multiple onsite events
  • Manage and coordinate daily communication and tasking with building management and vendors
  • Provide floor plan options for all event and training rooms spaces
  • Attend afterhours Events when required.

Maintenance -

  • Maintain a positive relationship with building managers and engineers
  • Assist Facilities Site Mgr, Team Lead, or other Workplace Operations team members or vendors with general tasks
  • Scheduling vendors for repairs when directed by Facilities Site Mgr or Team Lead
  • Maintain all storage rooms to assure they are neat and orderly
  • Maintain inventory documentation on the following items:
  • Light bulbs and lamp fixtures, pencil trays, standing pads, moving boxes, etc...
  • Ergonomic Equipment: Keyboard gel pads, mouse gel pads, foot rests, etc
  • Maintain keybox (organized, neat, and orderly)

Office Services / Mail Room -

  • Partner with Office Services team to support ensure stationery and office supply items are in inventory and distributed appropriately to the front desk, mail area, copy rooms, office service kiosks and printer areas.
  • Check printers and copier areas to be neat free of clutter.
