The Role
The Executive Assistant is responsible for providing a centralized operational administrative support services for the Chief Operations Officer.

This position will be the liaison for the Operations Department and will coordinate reporting workflow and ensure administrative support to continuous delivery of highly professional, effective and efficient operational results.


The Executive Assistant to the COO will compile information and coordinate highly confidential executive financial and human resources reports as well as supporting operational business plans and budgets.

This position is also responsible for general office management areas such as, maintenance of office equipment and maintaining inventory/ordering of office supplies and other various administrative tasks required to support the Chief Operations Officer.


Responsibilities:


  • With direction from the Director of Operations assists in the design and preparation and delivery of professional research, reporting and presentation.
  • Create confidential financial and statistical processes and prepare a wide range of reports for Senior Management Committee.
  • Research and investigate information that provides a foundation from which to enable strategic decisionmaking by others.
  • Analyze and interpret operational financial statistics and other data and produce critical reports that verify and/or prove areas of challenge or of improvement.
  • Responsible for providing support and delivery of a coordinated, centralized approach to maintaining a consistent & efficient flow of operational business requirements.
  • Fully plans (all function activities) organizes and participates in departmental meetings, conferences, and project team activities.
  • Provides central operational administrative/clerical management, recording & actioning the process of incoming and outgoing HR related administrative requirements.
  • Design and document processes, procedures and controls for the consistent and uniform management and effective control of operational outputs.
  • Assist in the preparation of strategic business plans in conjunction with the Director of Operations.
  • Coordinate the biweekly meetings of the Operations Department and prepare the reports and action plans that result from the meetings.
  • Monitor the progress of action plans developed for the Operations Department.
  • Create, lead and manage crossfunctional teams for special projects as required.
  • Assess and interpret communications issues that may arise within the operations group and implement action plans that fall within corporate policies and procedures.
  • Communicate and provide information internally that will assist and enable operations to be seen as a proactive and effective service to all interconnected business groups.
  • Responsible for design and preparation of complex reports, letters, etc, utilizing software.
  • Ability to work quickly, flexibly, effectively and positively in response to requests made at short notice.
  • Demonstrated commitment to continuous learning & the career development needed in order to fulfill the changing requirements of the job.

Requirements:


  • University/College Degree in Business Administration or Commerce.
  • 5 years' experience at highlevel administrative support roles.
  • Understanding of HR principles, report preparation and finance/accounting processes.
  • Demonstrated knowledge of software packages such as Microsoft Word, Excel, and PowerPoint.
  • Must demonstrate knowledge of sound business practices, managing competing priorities successfully.
  • Excellent attention to detail and accuracy.
  • Ability to handle highly sensitive and confidential information with professionalism and discretion.
  • Effective communication and interpersonal skills.
