The Business Manager to the Department of Obstetrics and Gynecology provides executive and administrative support to both the Chief and the Department of Obstetrics and Gynaecology, helping to achieve its goals.

This role is critical to the effective functioning of the entire Department and is an integral part of the busy, dynamic, and growing Obstetrics & Gynecology Program at Mount Sinai Hospital, the University Health Network and Women's College Hospital.

The Business Manager provides support with all financial and staff-related issues.

This key position requires the ability to work on complex and confidential issues and oversees and/or participates in the coordination, supervision and completion of special projects and initiatives.

The Business Manager will work collaboratively with the entire department, other stakeholders as well hospital colleagues.


The Business Manager's Key Accountabilities:


  • Responsible for two hospital operating budgets
  • Responsible for the department's TA APP (Alternate Funding Plan) for surgical blocks (distribution to MD's; financial reconciliation with MOH)
  • Responsible for all departmental physician trust funds,4 divisional practice plans and departmental practice plan (assessments, taxation, budgeting, A/P, A/R, reconciliation, calculation of capital payouts, yearend financial reporting and statements)
  • Responsible for department's alternate funding plan (AFP) to include biannual FTE recounts, new registrations/deletions, reconciliation of converted funds, physician distributions (clinical teaching/merit points), MOH financial reconciliation, yearend closing
  • Responsible for department's research investment fund and works closely with the Research Director and Manager in the administration of research grants; works with auditors in preparing yearend closing and financial statements
  • Responsible for fellowship budget reconciliations (MFM, REI, MIS, CA, Complex OB Surgical, UroGynaecology, Menopause)
  • Prepares all necessary onboarding paperwork for new fellows following signed LOO (new hire forms, employee documentation packages, payroll, funding recovery invoices, OHIP software billing setups)
  • Responsible for the review and allocation of clinical teaching funds, merit points calculation and distribution, clinical investigator stipends
  • Responsible for all other departmental fund accounts (Cord Blood, Clinical Assistant, Research Salary, U of T)
  • Oversees scheduling and billing software needs of the department and physicians (software customization requests, control file updates, financial reporting)
  • Manage the hiring process, credentialing and onboarding of all departmental physician administrative staff and serves as liaison between HR, payroll, physicians; handles all ongoing HR issues (timekeeping, compensation increases, sick/mat leaves, grievances etc.)
  • Collaborate with other staff to prepare departmental documents containing accurate, high quality program data and descriptions and to translate that data to power point presentations etc.
  • Handle special projects and other duties as required.


  • Job Requirements

  • Postsecondary education in business administration/accounting (CMA preferred).
  • Minimum of five (5) years' experience providing senior level strategic and administrative support, preferably in a hospital setting
  • A responsive customer service orientation and experience interacting with senior level executives and physicians.
  • Unquestionable integrity, a highly nuanced sense of judgement and absolute discretion with confidential and sensitive information.
  • Act as an ambassador in all situations, positively representing the hospital and the department.
  • Understanding of partnerships and collaboration across divisions and organizations.
  • Proven ability to operate professionally and with consistently high standards of excellence.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office suite of programs specifically Outlook, Word, Excel and PowerPoint. Experience with databases and web site design is an asset.
  • In depth knowledge of medical billing software is preferred
  • Possess an understanding of the Ministry's Schedule of Benefits and OHIP billing
  • Excellent organizational skills with diligent attention to detail and the ability to produce accurate work efficiently.
