Description

The Branch Administrator is responsible for a wide variety of administrative duties supporting the Desjardins Financial Security Branch and its brokers.

Responsibilities include coordinating and communicating branch activities, processing branch paperwork and keeping immaculate records.

Job Duties

  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
  • Provide ongoing customer service to the entire DFS client base and brokers, ensuring all inquiries are completed in a timely manner. Escalate if necessary to the broker or the Branch Manager, for completion. Follow through until completion.
  • Ensure all forms and software dealing with DFS are current within the office and have been distributed to the brokers.
  • Ensure destruction of outdated supplies or software.
  • Open and Review all Mail, couriers and Look for time sensitive items and checks to be processed or sorted to advisors.
  • Perform daily brokerage communication regarding industry updates or revision, business practice and overall procedures.
  • Keep all filing current. DFS branch files are the Branch Administrator's responsibility to keep current and orderly.
  • Keep abreast of educational requirements and improve skills as needed.
  • Type forms, letters, reports, and memos as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Where necessary, assist in compiling data for various reports.
  • Coordinate the logĂ­stical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.
  • As a frontline worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
  • Provide information to staff and/or clients about special activities.
  • Ensure all forms and reports are completed as needed.
  • Ensure that the appropriate evacuation procedures are carried out in the event of an emergency.
  • Observe and report any security issues to the Office Manager.
  • Provide back up for DFSIN SWO Administrative staff when necessary.
  • Complete special projects when required
  • Assist in dealing with orphan clients/files
  • Scanning of documents when required
