Role:

As an integral part of the Aquatics team, the Aquatic Leadership and Specialty Programs Coordinator is responsible for providing both operational and strategic leadership for our program team members specific to leadership programs, Swim Abilities lessons, school group classes and the Sea Dragons recreational swim club and ensuring legendary service and safety standards are met for each and every customer.

The Aquatic Leadership and Specialty Programs Coordinator will plan, organize, and schedule day to day leadership courses, Swim Abilities classes, school swim lessons and Sea Dragons programs within our aquatics facility.

The primary hours for this role are 40 hours per week working Sunday - Thursday.

What You'll Do:


Administration

  • Responsible for staff scheduling and for shift coverage, in collaboration with Aquatic Leadership team, for the specialty programs: aquatic leadership, swim abilities instructors, coaching team and instructors for school lessons.
  • Assist with program data entry in Avocado
  • Plan the programming of leadership courses on a quarterly basis based on facility allocations and budgets. Monitor deadlines for the facility timelines; complete data entry in collaboration with other coordinators.
  • Assist with program management within Avocado not limited to: contacting and filling waitlist spots, monitoring fill rates/cancelling practices if required, and collecting registration numbers as needed through the use of external aquatic contacts.
  • Manage and track material, equipment, and other inventory and assist with ordering class materials (books, ribbons, practice first aid equipment etc.) for all specialty programs.
  • Equipment tracking, purchasing and inventory (i.e. Sea Dragon equipment, specialized program equipment and practice first aid equipment for leadership).
  • Ensure administration paperwork for leadership and Sea Dragons are organized and well stocked.
  • Ensure equipment for minimeets are ordered and planning for all events are submitted to the sports services department for approval
  • Update and maintain training manuals for specialty programs and assist with creation and updating policies and procedures.
  • Responsible for providing appropriate documentation and communication to the Aquatic Programs & Operations Manager regarding aquatic leadership, specialty programs and overall team functioning.
  • Collect and submit all prerequisites and test sheets to the lifesaving society within 2 weeks of completion of courses.
  • Submit leadership courses to Lifesaving society on a quarterly basis
  • Any other administrative duties as assigned.

Customer Experience

  • Promote and market specialty programs; interact with customers and patrons, sell additional or specific programs/services based on customer need and value.
  • Responsible for program registrations, cancellations, transfers, and refunds/credits.
  • Assist and empower employees to handle customer complaints by providing legendary service.
  • Connect with both internal and external customers in a positive and legendary way on and off the pool deck by providing prompt, sincere, and professional responses to questions and concerns that arise; striving to exceed our customers' expectations.
  • Actively communicate with both internal and external customers regarding special events, service changes and new incentives.

Team building/daily team support

  • Support the vision and direction of MNP Community & Sport Centre and the Aquatic Management Team by providing clear communication and documentation to the team while modeling expected behaviors related to performance and MNPCSC mission, vision, and values.
  • Collaborate with the Aquatic Program & Operations Manager with recruitment, training, mentoring, performance management and goal setting to leadership instructors, specialty program instructors and coaches.
  • Work collaboratively with the Swim for Life Coordinator and provide support when necessary.
  • Followup on all AQSL reports if comments are applicable.
  • Lead, coach, mentor and empower employees to handle operational challenges and provide legendary service.
  • Establish solid working relationships within the team and other departments to ensure a cohesive working environment.
  • Under the direction of the Aquatic Program & Operations Manager, backfill for frontline team members as required (Coach or fill in for specialty programs instructors) and Aquatic Coordinators in their absence.
  • Attend Leadership and Inservice training when required.
  • Attend scheduled meetings and oneonones as required by Aqua
