Description
Answers telephone and respond to caller inquiries in a pleasant manner.

  • Answers client / bookers questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants etc.)
  • Serves as the point of contact for clients and communicates and respond to questions and requests.
  • Coordinates internally with the sales & marketing team, redirects new group inquiries as needed to the appropriate Sales or Catering team member.
  • Generates reports, collects details, coordinates with clients & suppliers, prepares salesrelated documents throughout the sales process (e.g., proposals, contracts, BEO packages).
  • Enters new group blocks that have any meetings/events booked with us. Making reservations for those blocks that have rooming lists. Setting up billing for those reservations.
  • Sending out all invoices for Banquets and any guest rooms associated with them.
  • Gathers materials and assemble information packages (e.g., brochures, promotional materials, sales demo kit, welcome kit, etc.).
  • Arranges and coordinate meetings, events and any appointments.
  • Records, transcribes and distributes minutes of meetings.
  • Interacts with client related to leads, hotel needs and client travel.
  • Performs hotel site tours with potential clients as required and in the absence of managers.
  • Monitors, screens, responds to and distributes incoming communications.
  • Ensures clear and concise communication within the Sales team, as well as with the rest of the hotel team.
  • Loads and Manage Rooming Lists to the Hotel Software.
  • Files and retrieves documents and reference materials.
  • Conducts research and collect data to prepare reports and documents.
  • Coordinates necessary arrangements with vendors relating to sales.
  • Ensures all documents produced by the Sales & Catering Departments (i.e. contracts, rooming lists, proposals) are completed accurately and on time.
  • Ensures the adequacy of salesrelated equipment, maintains the inventory of collateral and marketing material.
  • Maintains inventory of office supplies, places orders as appropriate.
  • Occasional offsite representation; golf tournaments, trade shows, expos, sales blitzes, industry related training.
  • Other duties as assigned.
