Overview of Job:

The Purchaser and Webstore Lead oversees and supports the parts area by working in collaboration with the Sales Team and Department Leads to set and promote high quality standards, efficiency and profitability for the Co-op, within its values and principles.

The position forecasts, monitors and reviews the parts area activity including inventory control and employee training and management within a structure that is accountable, responsive and collaborative with other areas and in line with the Co-op's long-term goals and strategies.


Core competencies for this role are teamwork, problem solving, leadership, communication and accountability. The position oversees the POS system website and contributes to the shaping of other systems as they relate to the overall operations of Urbane.
Strong institutional knowledge of bicycle components, distributors and bike shop operations are critical to this role.

Accountability:
This position is accountable to the Co-op, Service Lead, Sales Lead and Admin Lead. Regular liaison and peer supervision are required to establish personal and role related goal setting and review.


Primary Responsibilities in Parts Sales and Purchasing:

  • Perform Ordering Duties, collaborating with other Purchasers and the Sales Team to complete booking orders and regular in season orders∙Authorize invoices for payment in line with financial protocols
Receiving and entering inventory with high level of detailOversee and Perform Inventory Control responsibilitiesOversee organization of inventory storage

  • Provide excellent customer service in Parts and Accessories sales:Address parts queries
Process special ordersWarranty items

  • Monitor supplies for parts and shipping dept
  • Engage and collaborate with employees and members as it relates to parts: accessing, monitoring inventory, and carrying primary responsibility for the decisions and implementation of workflow, function and performance in the area
  • Research and development of new systems and products
  • Database Management
  • Theft Prevention

Primary Responsibilities in eCom:


  • Oversee and monitor online orders and Webstore
  • Acting director for our eCom store:Processing webstore orders, ensuring customer needs are met.
Monitor website inventory representation and shipping detFacilitate and oversee ShippingDatabase management (bulk imports and price checks)

  • Perform and oversee Shipping
  • Database Management
  • Ordering shipping supplies

Primary Budgeting and Forecasting Responsibilities:


  • Collaboratively generate annual fiscal and operational plans for the shop
  • Collaboratively design, update and implement systems, protocols and procedures for parts and stock areas, inventory control, shipping and receiving, online orders and POS system
  • Initiate and facilitate discussion or training meetings with parts staff, participate as requested in other area meetings and promote collaborative skill development and transfer of product and system knowledge
  • Direct and perform the Annual Inventory Count

Secondary Administrative Responsibilities:


  • Participate in the hiring, supervision and evaluation of employees, fulfilling a primary responsibility for those within the dept and a collaborative supportive role for those within other areas of the Coop
  • Consult with HR in the following categories:Hiring and firing of department staff
Delegating the roles and responsibilities of parts department staffTraining and Orientation of staff in Parts and WebstoreStarting wages and raises of department staffDisciplinary action of department staffManaging and creating policy about any work habits (cleanliness, lateness, etc.) that affect department productivity and image

  • Timely forecasts, monitoring and review of parts area revenue, expenses, activities and outputs
  • Other duties as assigned

Interpersonal Relations:


  • Represent the Coop at cycling industry trade shows and events, as required and in line with availability and Membership direction
  • Liaise with industry reps, suppliers, distributors, customers and community contacts as required
  • Promote and uphold consistent employee and member treatment
  • Promote and uphold high quality standards in sales and customer service

Job Qualifications:


  • Strong organizational and administrative skills
  • Strong product industry knowledge
  • Strong understanding of business functions
  • Strong critical business thinking skills including market & profitability forecasting and sales analysis
  • At least 2 years bike industry experience
  • The ability to work under pressure, take initiative, create and follow plans
  • Superior problem solving skills
  • A capacity to work with others on a range of projects
  • Strong computer skills including: word processing, database management, spreadsheets
  • Strong verbal and written communication skills in English

Starting Wage:
$21.10 / hour

Wage increases incremental with experie
