Major Purpose


Reporting to the Manager, Facilities, the Assistant, Facilities is primarily responsible for supporting the overall comfort, cleanliness, and customer experience for FCM staff and visitors at FCM owned and leased properties located in Ottawa (Downtown).

The incumbent to this position will also have overall responsibility for day-to-day operations, liaising with contractors, performing maintenance activities, mail and work tool distribution, greeting guests/accepting deliveries, purchasing supplies, and responding to facility service requests from internal stakeholders.


Key Responsibilities

  • Responds to daily service desk requests in a timely manner. Service requests cover a wide variety of activities including inventory replenishment, changing light bulbs, temperature adjustments, and any other maintenance request that may arise.
  • Responsible for mail processing and distribution;
  • Monitors office supplies and amenities and replenishes, as required;
  • Assists Facilities Manager in ensuring that FCM's servicing vendors are meeting contractual obligations and that work is being performed to a high standard;
  • Provides back up for virtual reception function when required;
  • Performs occasional equipment or office furniture home delivery;
  • Performs occasional meeting room furniture reconfiguration; Some heavy lifting required (2550lbs)
  • Serve on the Joint Health and Safety Committee & Fire Warden Team. Be the primary contact for both internal and external clients in the event of an emergency. (First Aid training will be provided by FCM)
  • Coordinates appropriate cleaning services and manages cleaning supplies throughout facilities;
  • Coordinates and monitors the recycling program;
  • Contacts and coordinates with vendors for maintenance and repairs;
  • Supports the Facilities Manager with maintaining the security access control system;
  • Monitors temperature adjustments from the Building Automation System (BAS);
  • Monitors alerts from the Building Security System;
  • Assists the Facilities Manager in all aspects of various projects implementation, as needed;
  • Serves as the main facilities contact when Facilities Manager is not available;
  • Other duties as assigned by the Facilities Manager

Knowledge and Experience

  • High school diploma;
years of experience in a maintenance and/or facilities capacity;

  • Knowledge of contracting and procurement of facility related services;
  • Strong indepth knowledge of facilities best practices and processes;
  • Some technical knowledge of skilled trades environment would be considered an asset;
  • Experience in facilities renovation and construction would be considered an asset;
  • Completion of or actively working towards a facilities management certification would be considered an asset;
  • Ability to prioritize workload, work independently using initiative and judgment, adapt to changing priorities, manage multiple tasks, demonstrate attention to detail in a fastpaced environment;
  • Strong organizational, written, and oral communications skills.

Language

  • The ability to work in both official languages (English and French) is an asset.
