Summer Camp Manager


Hours of Work: 40 hours/week, Monday-Friday, shifts vary between 7:30am and 5:30pm


Weekly Schedule:
Monday-Friday


Program Hours:
Monday-Friday, 8:00am-5:00pm

Work Environment:

Outdoor rain or shine, indoor space is inside the main community centre building as well as the Garry Oak Room, Community Excursions.


ORGANIZATIONAL STRUCTURE AND REPORTING RELATIONSHIP


Working collaboratively with the Child Care Coordinator this position is accountable to and reports to the Child Care Coordinator (CCC).

The CCC is accountable to and reports to the Co

  • Executive Director of the FGCA who is accountable to and reports to the Board of the Fairfield Community Association concerning the program's successful operation.

JOB SUMMARY


The Summer Camp Manager acts as a liaison and support staff for the Child Care Coordinator as well as the Executive Directors within the Summer Camps program.

The Manager plans, coordinates, and delivers high quality, child-centered childcare services.

The Manager acts in accordance with the FGCA policies and procedures as well as within the requirements of all governing agencies.


AREAS OF RESPONSIBILITIES
With a focus on children and their staff team, the Summer Camp Manager will be responsible for the following:

Administration

  • Ensure all licensing facility regulations are met regarding the Summer Camp program
  • Planning and implementing camp programming
  • Register families and manage existing registration according to Fairfield policy, and VIHA licensing
  • Monitor, maintain and utilize the program log book
  • Accountable for orientation of new parents and children
  • Responsible to ensure that programs are fully enrolled and adequately staffed
  • Create, monitor, maintain and organize program supplies
  • Monitor, maintain and utilize the existing resources
  • Communicate with the Child Care Coordinator, Executive Directors and staff to promote an open, collaborative environment
  • Research and coordinate safe and engaging excursions and guests
  • Design program plans in keeping with the philosophy of Summer Camp as outlined in policy manual
  • Responsible for the organization of activities and programming of feebased, schoolage child care programs with up to sixty (60) licensed spaces
  • Keep abreast of all correspondence and responds appropriately and in a timely manner
  • Responsible for ongoing communication with parents and ensuring the Child Care Coordinator / Executive Director is aware and up to date with both positive and negative information about the program

Finances:


  • Keep all accounting records in the excel spreadsheet up to date and accurate
  • Provide Child Care Coordinator / Executive Directors with monthly petty cash summaries
  • Communicate all late and outstanding fees by the first day of each week
  • Purchase general supplies using the petty cash allowance
  • Concretely adhere to a fixed budget
  • Follow up with penalty charges, late fees as well as subsidy families
  • Correctly reconcile monthly budget, parent payments, and petty cash / food allowance
  • Purchase weekly snack for Summer Camp according to budget

Policy and Procedure:


  • Ensure adherence to all child care licensing regulations and FGCA policies and procedures
  • Understand and implement safety procedures i.e. missing child protocol, unauthorized pick up, etc.
  • Act in accordance with the code of conduct of the Fairfield Gonzales Community Association
  • Read and update log books
  • Promote and adhere to the Staff Handbook as well as Parent Handbook

Children:


  • Work in ratio as necessary.
  • With the support of the Summer Camp staff, coordinate and plan the delivery of ageappropriate programs and activities for children up to 12 years of age.
  • Provide a high standard of care to children in the program, with particular attention to physical safety and emotional wellbeing.
  • Promote children's self esteem and confidence building.
  • Provide ageappropriate guidance and direction to children in care.
  • Provide support to staff in developing techniques and tools to facilitate success for children in care.
  • Provide all required care and support to program participants including, but not limited to; provision of first aid, behaviour management, and appropriate risk management.
  • Document and report all incidents suspected or confirmed of child abuse or neglect to the program supervisor and appropriate agencies.

  • Liaise correct information between team members and parents
  • Communicate financial information to paren
