Position Description:

If you're passionate about being a part of a highly functioning, fast paced team, focused on working with a variety of internal and external partners, then this role is for you


Looking for someone with
2-3 years of
experience working in healthcare**, and who is able to manage multiple priorities concurrently, can stay on top of deadlines and reminders, and has a positive outlook.


Here's What You'll Get To Do

  • Schedule meetings with large groups of internal and external partners, executive leaders and others
  • Support the preparation and dissemination of meeting packages, generate accurate minutes of meetings, and monitor timely completion of followup action items between meetings
  • Organize logistics related to inperson and virtual meetings and events of different sizes, including venues, catering, technology platforms, audio/visual needs, invitations and RSVPs.
  • Support the preparation of reports and presentation material including slides, word processing and spreadsheets
  • Develop and maintain large contact/distribution lists, and proficiently manage mail merges and other tools for effective and efficient communications.
  • Assist in the maintenance of the GH CBMH website and social media accounts

Here's What You'll Need

  • Two to three years of administrative experience, with proven experience working with Executive Offices, preferably within healthcare or public sector setting
  • Business or administrative degree/postdiploma program or equivalent
  • Proven organizational and time management skills, with ability to prioritize tasks effectively and respond to fluctuating demands promptly and professionally
  • Superior communication skills, both verbal and written
  • Advanced knowledge of Microsoft Office platforms especially PowerPoint, Word, Excel, Sharepoint, as well as Windows environments and Adobe Acrobat Professional
  • Governance experience (e.g., supporting executive committees) is an asset
  • High level of judgment and professionalism in interacting with a wide range of stakeholders
  • Precise attention to detail, tact and diplomacy
